5 Event Rules You Must Follow

  1. Define your team, strategy and delegate responsibilities.  Giving people certain tasks puts them in action mode. Planning an event takes drive, execution and time. The team needs to be fully aware and in agreement of the schedule and strategy and know how their part fits into the big scheme of things. Humans take pride in being a part of things if they understand how their part contributes to the whole.
  2. Clarify objectives and goals. Write out the goals and give them numbers. You cannot manage what you can’t measure. Success and ROI needs to be clearly agreed upon by the team.
  3. All decisions need to align with the strategy, objective and goals. Inevitably, as the team gets into the planning and excitement, ideas will start flowing freely. Staying on task and focusing on the end result will keep the team headed in the right direction without distraction. If ideas are not aligned with the objectives, ax them off the table quickly.
  4. Remember the WHY of your event. Often times in the excitement of the planning and execution, we forget our why. Your why should ALWAYS go back to bringing value to your audience. The event, even if it is a product launch, should be about the customer. The information delivered in the room should create an enthusiasm and a call to action to get people connected with your brand.
  5. Measure the outcome. Did the event and in-room experience move the audience to meet or exceed your event objectives and goals?  How do you know? Ask them!  Send feedback forms, collect testimonials, and ask for opinions. In a day bombarded with social media and emails, consider picking up the phone and asking for feedback.
  6. Wrap it up. Combine the results into a presentation and have a team meeting. Success results need to be communicated back to the planning team. This will ensure your team stays engaged and excited to plan future events. Include lessons learned and discuss successes. Give it two weeks for the team to breathe and start again on your next endeavor!
