I'll take you through 4 strategies that you can apply while writing prompts to ChatGPT.

The 4 Strategies:

1. Write Clear Instructions:

Precision is key!

Example:

Don't Just Write:

→ How do I add numbers in Excel?

Instead:

→ How do I add a row of dollar amounts in Excel for a whole sheet, with totals in a 'Total' column?

2. Specify Steps:

Break it down like a dance routine.

Example:

→ Step 1 - Summarise this text in one sentence.

→ Step 2 - Now, translate that summary into Spanish.

3. Provide Examples & Reference Text:

Show, don't just tell!

Example:

→ Read the attached Sample.txt file. The output should be in a similar way as that.

4. Split Complex Tasks into Simpler Subtasks:

It's all about tackling things one step at a time.

Example:

→ Classify queries (Billing, Technical Support, etc.)

→ And then deal with each category with specific instructions.

Now let's implement these strategies and write a ChatGPT Prompt.

The Task for ChatGPT:

Create a response template for different types of client emails.

The Objective:

Improve efficiency and accuracy in responding to client emails in our customer support department.

The Prompt:

I have divided the Prompt into different sections for easy customisation and understanding.

But when you Copy & Paste to ChatGPT, you need to put it as a 'ONE' prompt.

Upload input files wherever necessary.

I need to streamline our client communication in email support.        
Step 1: Analyse the last 100 client emails from the uploaded file.         
Step 2: Categorise them into distinct types like Billing, Technical Support and General Inquiry.

For example, if an email mentions 'invoice', 'payment', or 'billing', classify it as 'Billing'.        
Step 3: Draft a response template for each category addressing common queries or issues.        
Step 4: Ensure the tone is professional and empathetic.

Reference Text: 

Use the attached 'ResponseGuidelines.txt' as a style reference.        

The Outcome:

ChatGPT will generate customised response email templates that can be used to compose responses to the client for each email category.

This would create a more organised email support system with quicker and more accurate responses.
