3 tips to follow to create an unforgettable event
All it takes to go from a forgettable event to an unforgettable event is planning.
Unique, memorable events aren’t created overnight. They’re organized months before and planned down to every last detail. The goal is to have guests leave already wanting to come back for more.
As a season event professional managing in a year up to 6 one day events attracting upto 40,000 people to complex two day music events with 25,000 to upto 84 smaller business and corporate events a year the no one priority is planning. Planning starts firstly with your customers , secondly your key stakeholders, then your suppliers then your volunteers and staff.
Here are three tips to create the best customer experience as part of your plan.
Tip 1: Nail your guest’s basic needs
Your first goal should be to tend to the basic needs of all guests – create a system that gets guests in quickly, buy food and drinks quickly and be able to enjoy what the event is offering without feeling jam-packed. Ensure these factors are in place before you start designing your event:
- Guests should be able to get in to the event quickly – no waiting for hours in line
- Tickets should still be on sale onsite without making the wait in line longer
- Payments for food, drink etc. at the event shouldn’t be limited – include cash, card or cashless payments
- Plan out your event so no one area will over crowd
Tip 2: Give them what they want
You’ve provided your guests with their basic needs, now you can focus on what they want. Guests want a diverse range of food and drink options; they want their day to run well and they want to enjoy what your event has to offer. This can be achieved by using technology to give guests what they want. Create an individualized experience through customised event apps. Use social media to give guests unique content to post such as a Snapchat Geofilter, customised gifs or Instagram hashtag.
Tip 3: Make them love it!
This aspect is what will make your event unforgettable. People enjoy events where they feel their community is represented. Nailing this will keep people coming back each year. When designing your event, consider how you can adapt your design to cater for your community at the event, including the local community and families. This is also the stage where you can add unexpected elements into your event to really make it stand out.
Some ways to do this are:
- Present entertainment in unexpected places e.g. in the line
- Use art to give your event a playful side
- Don’t let the experience of your event stop when the event is over, extend it!
Create an experience not just an event, put yourself in the shoes of the people you want to see at the event and plan to the smallest details to create an experience they love to be apart of and want to return time and time again.
