It’s a common knowledge that our daily routine is a byproduct of our actions. And our actions are the basic foundations for our results.
Therefor, if we can upscale our actions, then our daily routine will be much more efficient and we will have more leisure time for ourselves and for our family.
Step 1: Preparation
If you are like me (and like most people), then you have lots of assignments on your TO-DO list. The best way to approach to those assignments, is to make a pre-preparation.
What is it “Pre-Preparation” and how it’s different from “simple” preparation?
The idea of Pre-Preparation is to make a one-time decision on your primary categories. After that, you can easily place your tasks into each category.
An example of 3 main categories related to work:
- Clients
- Employees
- Management
You can change the categories to the whatever suits you best, and you can add more categories. I personally prefer to set up to 5 categories.
Once you done that, you can now easily divide your daily tasks into those categories, and by doing so, you will have much more control on your “bottle neck” and you will be able to prioritize that tasks individually and in each category.
Step 2: blocking
Most of us do one task, and then move to the next one. So far so good ??
But the problem starts when we “jump” from one kind of task to different kind of task. For example, we “send quotation to client” and after that we “make summary report”. These tasks are so different from each other, and they require from us a different set of minds for doing them.
The idea is to do tasks from the same kind one after the other by blocking the tasks. This way we are more focus on the “task-mod” that we are in right now, instead of jumping back and forward from one task to the other.
This also will allow us a concentration of efforts that will simply give us more energy to do each task easily and effortlessly.
Step 3: charging
This step is probably the easiest step of them all. It basically means that we need to charge ourselves with energy between the tasks.
How it’s done?
Set a timer of 45 minutes. In those 45 minutes your goal is to focus only on your tasks. No distractions, no phone calls, no breaks.
Once the 45 minutes are over, you have 10 minutes for break. Do what ever you want in that time, but don’t do anything that relate to your tasks!
Once the 10 minutes are over, you have 5 minutes for your set-up. This is what I called “The Bridge”. This bridge is super-important in order to put your mind and focus back on track from your break to your upcoming 45 minutes of work.
My tip, is that in those quick 5 minutes, try to organize in your mind your upcoming tasks and to prioritize them, so you won’t have to lose time from your 45 minutes of work.
I’m sure that in the first time that you will use those steps, you might feel a bit occurred, but from my experience, I can tell you that once you master these techniques, you will be more efficient and much happier about your productivity!
