Create a Collaboration-Rich Environment for Your Project

1. Respect for People ??
At the heart of every successful project lies a team of skilled professionals, particularly subject matter experts (SMEs). Their knowledge and expertise are invaluable, and fostering a culture of respect is crucial to harnessing their full potential.
- Recognize Expertise ?? – SMEs spend decades honing their craft. Their insights provide the foundational path to value creation in product development, ensuring that projects are grounded in real-world experience and best practices.
- Eliminate Waste ??? – Invest in processes and tools that free skilled professionals from low-value tasks. Inefficient processes consume time that could otherwise be spent solving complex problems and innovating. Reducing waste allows experts to focus on what they do best. Reducing common waste is a form of respect for your SMEs that goes beyond words.
2. Create a Winnable Game ??
Teams need the right conditions to succeed; a poorly structured team or an unrealistic workload creates unnecessary friction and frustration. Instead, set them up for success by designing a winnable game.
- Assign a Full Team ?? – Partial teams accomplish very little because they are frequently blocked by dependencies on missing members. Ensuring a full team is in place eliminates unnecessary bottlenecks.
- Leverage Experience ?? – While great processes help teams function efficiently, no methodology can replace fundamental capability. Assign experienced professionals who can make informed decisions and drive progress.
- Maintain High Cadence Meetings? – Frequent team meetings keep everyone aligned and engaged. Short, structured check-ins prevent miscommunication, reduce surprises, and ensure obstacles are addressed quickly. For superior results, schedule project teams to meet for 10-15 minutes 3x - 5x per week, similar to the common practice of "daily standups" in Agile Scrum.
3. Nurture Accountability ?
Accountability isn’t about micromanagement—it’s about fostering ownership and engagement within the team. When people feel connected to their work and teammates, they take greater responsibility for outcomes.
- Use Team-Based Planning ??? – When everyone has a voice in planning, they are more likely to take ownership of the results. Projects rarely go exactly as planned, and strong ownership ensures adaptability when challenges arise.
- Break Work into Manageable Chunks ?? – Tasks should be broken down into 1-2 week segments, with plenty of smaller, 2-3 day tasks. Seeing tangible progress helps team members stay engaged and motivated, while also reinforcing accountability.
- Use a Simple Scoreboard ?? – Is the project on track or not? While the details are always complex, a clear, visual representation of progress helps align the team quickly. Forget a list of 10 KPIs—you wouldn't want that in a baseball scoreboard and your team doesn't respond well to it in a project. A simple scoreboard ensures everyone is looking through the same lens and can react appropriately.
