3 Elements of a super effective & hyper focused meeting

If you are constantly in need to communicate & clarify things, it means that people in different part of the organization are not working dynamically and it also shows that there is structural failure in the communication process which requires more and more communication.
Let's see how we can make those meetings 'super effective'.
The whole thing starts with 'an agenda.'
Easy! Isn't it?
So, there 3 rules to an effective meeting agenda and it is more important when it comes to virtual meetings.
1.Clear Purpose for Everyone: The 1st component is ' A clear Purpose'. It is not just a clear purpose but ' A Clear Purpose for Everyone attending the meeting'. Each participant should be clear about why he/she is attending the meeting.
2. Unreasonable Time Constraint: The 2nd element to make an effective meeting agenda is- 'Unreasonable Time Constraint' for everyone speaking.
Suppose, if we have 4 people attending the meeting and I have allocated 5 minutes to each one of them to speak. Here, I can increase the time limit from 5 minutes to 10 minutes each.

In this case when they know exactly how much they have to talk, they are going to plan it in a better way. And the unreasonable time constraint is going to force them to be highly effective with their time.
3. Pre-allocated Homework: The 3rd element of an highly effective meeting agenda is 'Pre-Allocated Homework'
So, in the meeting agenda, potential homework should also be allocated. Don't just tell them that why they have to come to the meeting and for how long they have to speak but also tell that there will be potential homework also.
So, the three elements of a super effective meeting agenda are:
1) A clear purpose for everyone
2) Unreasonable time constraint
3) Homework/Work to be done after the meeting
And in this way we are creating meetings which are super effective & hyper focused.

3 年Agree,more of communication clearly indicates dysfunctionality of org.as it means no clarity of business for no one.A big example is before WFH it became mandatory for a daily meeting of 1hrs for all (just for sake of discussing 1-2 profession related topics and rest drinks & refreshments-no gain of any org) Nw its been realised by many and Communication effecting org based getting cleared more on mails,wats app etc saving time and making everyone more accountable towards ORG.waisay bhi baatein bananay say acha kuch nahi hai ??
