It’s a truth universally acknowledged that a great VA can help you to operate in your zone of genius.
You kind of have a vague idea of what you would like your VA to do. But apart from basic admin housekeeping, you probably haven’t thought of what else they can do.
Sometimes you just need a bit of inspiration to understand what other awesome coaches, just like you, use their VA for.
Fear not 007, here are some ideas of how a VA can help you cultivate that chillpreneur lifestyle:
1. Diary management. If you juggling kids, coaching sessions, private appointments, various catch-ups and your mother-in-law for a good measure, this is a must. A VA can work out time it takes to get from A to B, schedule, book and create a lovely diary entry with all the details you need.
2. Client care. Once you have sold that coaching package of 12 sessions with 6 weeks frequency, your VA can ensure your coachee turns up in your diary at the correct interval.
3. Invoicing. Your VA can create your invoices and send them on your behalf. They can also be your ‘Dave from finance department’ and perform credit control duties.
4. Zoom. Your VA can set up all your Zoom meetings and send out the links as calendar invites.
5. Expenses. Scan your receipts into your virtual drive (or if you are an advanced chillpreneur, simply post them to your VA) and they will do their magic.
6. Liaising with your participants. Technical queries, support tickets and even some basic hand holding – all can be done and addressed by your VA.
7. Monitor and police your Facebook groups.
8. Contracts. Your VA can be in charge of sending out contracts, ensuring they are received signed and file them away on your drive.
9. Your membership subscriptions/domains/email accounts/ICO. Your VA can keep an eye on the renewal dates and renew them on your behalf.
10. Be your sounding board. If you think about it, your VA is the only other person who knows business as well as you do. Which makes them the perfect person to brainstorm and bounce ideas off.
11. Be your database guardian. Your VA can compile, maintain and update your database.
12. …and even your iCloud contacts. That way the contacts in your iPhone will always be up to date.
13. Set up and maintain various trackers in Excel, Numbers or Google sheets.
14. Keep track of birthdays, anniversaries, bar mitzvahs, weddings and other important dates and send out cards/flowers/presents on your behalf or remind you to do it.
15. Create and tweak gazillion of Word/Powerpoint/Pages/Keynote documents.
16. Look after your LinkedIn, Facebook, Twitter and Instagram accounts.
17. Liaise with your hairdresser/nail technician/lash therapist/masseuse and other important people in your life and manage those vital appointments.
18. Update your website with news and blog posts.
19. Help you to look after your car – service/insurance.
20. Look after your shared drive and file things away.
21. Do research for you. Whether it’s a new coffee machine or a piece of software – let your VA research it.
22. Book travel/hotels/restaurants.
23. Monitor and manage your inbox(es).
24. Top up your Nespresso supply so you never run out mid-launch.
25. Do a million of other adminy things that you don’t want to.
That is so helpful and despite the current situation, I am edging closer to needing you.
