Expert Advice: Smarter Ways to Track Business Travel Expenses
Tired of smoothing out crumpled receipts, dutifully filling out expense reports, and realizing that you often end up subsidizing a business trip due to missing receipts?

LINKEDIN: What are some items that business travelers often forget to document in their expense reports?
- SIKOLA: Many people forget to expense the mileage when driving from home (or office) to the airport. Also, when you get up in the morning and head out to a meeting. On the way, you grab a coffee. Many people think that adding a $4 expense is just not worth it. But if you do this for an entire week, it adds up. It all depends on the company's travel expense policy, but usually any personal meal during a trip is covered... Taking a picture of a receipt has become the norm. Plus the IRS allows digital images, assuming a few policies are met. No more paper or taping receipts!
- WILLS: A lot of people overlook cash expenditures, such as taxis, parking, coffee, and all of the little things you either forget to get a receipt for at the time (or you misplace before filing your expense report). With Concur, people can get a receipt using their smartphone right at the point of purchase. Another way to make sure these expenses aren’t overlooked is for business travelers to use their corporate credit card for all of their purchases. That way, transactions automatically feed right into an expense report.
LINKEDIN: What can you typically not expense?
- SIKOLA: Drinks with your friends, sporting tickets that are not business-related, and magazines (note: many of these scenarios vary by company based on their travel policy). Another one is airline upgrades. Some companies allow it and pay for it; some don't. An example is if you fly more than 7 hours, you can upgrade to business class. Because the airlines are getting creative on making more money for premium seats, now getting an aisle seat upgrade can also be considered an expensable item.
- WILLS: Generally speaking, expense policies vary by company. In fact, they even vary within companies based on department or job title. Some of our clients’ policies are strict and only cover very specific items on a business trip; others have more lenient practices.
LINKEDIN: Can you be reimbursed for tips and gratuities that are paid in cash?
- SIKOLA: It's the honor system. It starts with company culture — if someone lies on his or her expense reports, they need to know it will get them fired. Many companies have a policy that any item under a certain dollar amount does not need a receipt (typically $15-$25).
- WILLS: If your company sets $25 as its cash purchase threshold, then any purchase you make that doesn’t exceed $25 won’t require a receipt or other form of proof. It’s important to learn your company’s policy to make sure you comply.
LINKEDIN: Do you have any stats that show how much money a business traveler ends up paying out of pocket due to lost receipts or incomplete expense reports?
- SIKOLA: We (ExpenseCloud) don't have stats on this since we don't know what they are not submitting. Personally, I can say on average I lose $20-$30 on every trip. These might be from things like mileage I don't expense (to/from airport and home), tips, coffee, little meals, etc.

11 年My company uses Expensify https://www.expensify.com/ and it makes the process of adding receipts to reports and submitting them incredibly easy. I've recommended it to friends who's lobbied their companies to introduce it. Can't begin to tell you how much time this has saved me when traveling and compiling monthly expense reports. Their app for Android and iPhone couldn't be more intuitive and easy to use. Check it out.

11 年Is the End of the America Left and How it is Impacting LATAM IT Business? We are hoping changes after the War of the Oil promoted by Venezuela against USA. Former President of Venezuela creates a bad environment for American IT business in LATAM; they were promoting aggressions against Americans and capitalism coming from all the Countries from Mexico to the South of the Continent. China and India had a great opportunity to move in those markets easily, even may be attacking American 500 Fortune Companies in their pass of LATAM market, for example in Mexico, even with NAFTA, several Americans had to return to USA because of that aggressions. In spite of these situations, the high hierarchy in power in LATAM continues doing personal business to USA but at the same time attacking capitalism, leaving millions of LATAM people in extreme poverty. Internally, our President is defining himself as liberal but it seems his dream is for the socialism and communism. This situation is breaking our society and impacting American IT businesses no for the good to reach LATAM markets. In USA, the more affected are the Latinos, because our level of life has been decreasing as the time pass with this situation of several years. We are hoping that the War of Oil will be ended against USA, and allow to promote American businesses in LATAM with the help of Latinos. Today, the businesses for Spanish speakers are coming from socialist and communist monopolies of LATAM and Spain, instead of being generated in United States. There is a lot to do to break that inertia. SAP and Oracle had decrease their sales in USA, because of the ERP reengineering needed, and they are focusing in LATAM, and more easy market in the current situations, it is the time to open the eyes of the LATAM companies and offered them better solutions with the American ERP reengineering needed especially for American Corporates. Specially advancing them no check the ERP modules in the way that they scientifically integrated, and the low level of the programmers when there is a high need to expert consultant resolving the situation of mixing capitalist models with socialist and communist ideas, and the lack of increments in productivity or in the cost reductions.

11 年I worked for a company that did away with the expense report and implemented a daily allowance for food/drink etc. That made a big difference for the traveller (if you go over budget it is because you choose to eat at very expensive places) and the company (less manhours spent on dealing with the expense report). Overall it saved them money. The allowance was based on the Dutch Government table that is published every year.
