11 Principals: Transforming PLM Starts and Ends with Leading OCM Practices

Why do we sometimes start communicating change and process ownership later into our PLM (Product Lifecycle Management) transformation journey? Elevating our PLM project by including organizational change management (#OCM) principals from the beginning are crucial to ensuring successful implementation and maximizing its benefits.

Incorporating #OCM throughout the entire digital transformation project, rather than just at the end, is of utmost importance for ensuring a successful and sustainable transition. The success of any IT transformation is not solely dependent on the technical aspects but also on the willingness and ability of the people within the organization to adapt to the changes. By incorporating leading practices and adopting cultural principals from the project's inception, stakeholders are engaged from the outset, and their concerns and perspectives are taken into account during the planning and design phases.

This proactive approach enables the identification of potential challenges and resistance to change early on, allowing for timely interventions and adjustments. Consistent communication, proof of concepts (#POC) and training initiatives throughout the project keep employees informed and equipped with the necessary skills to embrace the new technologies and processes. Incorporating change management throughout the entire IT transformation fosters a culture of acceptance, cooperation, and continuous improvement, ultimately leading to higher user adoption, increased efficiency, and sustained positive outcomes for the organization as a whole. Here are 11 steps to achieve this:

  1. Create a Vision and Strategy: Clearly articulate the vision and objectives of the PLM project. Define the expected outcomes and benefits for the organization. Align the PLM project with the overall business strategy to ensure everyone understands its significance.
  2. Engage Stakeholders: Identify key stakeholders across different departments and involve them from the beginning. Understand their concerns, expectations, and requirements related to the PLM project. Engaged stakeholders are more likely to support and champion the change.
  3. Build a Strong Change Management Team: Form a dedicated change management team with representatives from various departments. This team will be responsible for planning, executing, and monitoring the change process.
  4. Communicate Effectively: Develop a comprehensive communication plan to keep everyone informed about the PLM project's progress, benefits, and impact on the organization. Use multiple communication channels, such as town halls, emails, and intranet updates.
  5. Provide Training and Support: Offer training sessions to all employees who will be using the PLM system. Ensure that they understand its functionalities and benefits. Provide ongoing support and resources to address any questions or issues that arise during the implementation.
  6. Address Resistance: Anticipate and address resistance to change. Understand the reasons behind resistance and work with stakeholders to overcome any challenges. Highlight the advantages of the PLM system and how it will improve their work.
  7. Start with Pilot Projects: Implement the PLM system in small pilot projects before rolling it out on a larger scale. This approach allows you to test the system, identify areas for improvement, and gain support from successful pilot projects.
  8. Celebrate Success: Recognize and celebrate milestones and successes achieved during the PLM project. Acknowledge the efforts of employees and teams who contributed to the successful implementation.
  9. Monitor and Evaluate: Continuously monitor the PLM project's progress and evaluate its impact on the organization. Gather feedback from users and stakeholders to make necessary adjustments and improvements.
  10. Sustain Change: Ensure that the changes brought about by the PLM project are sustained over the long term. Embed the new practices and processes into the organization's culture and operations.
  11. Learn from Experience: Capture lessons learned from the PLM project and use them to improve future change initiatives. This knowledge will be valuable for the organization's ongoing growth and development.

Conclusion: Starting OCM early in a project is invaluable for ensuring a successful and smooth transition. By initiating OCM from the project's inception, stakeholders' concerns are addressed, and their engagement is fostered throughout the journey. This proactive approach allows for the identification of potential challenges and resistance, enabling timely interventions and adjustments. Early OCM efforts set the groundwork for a culture of acceptance and cooperation, promoting higher user adoption and mitigating potential roadblocks. With consistent communication and training initiatives, employees are equipped with the necessary skills and knowledge to embrace the changes. By recognizing the value of starting OCM early, organizations can optimize their projects, enhance efficiency, and secure sustainable long-term benefits.
