10 Ways to Make Every Moment Count at the Event Production Show & International Confex 2025

10 Ways to Make Every Moment Count at the Event Production Show & International Confex 2025

Attending the Event Production Show and International Confex can be overwhelming, whether it's your first time or if you're an expo groupie especially if you want to make the most of your time. With so many exhibitors, sessions, and networking opportunities, having a game plan is essential. Here’s how you can navigate these events and make sure every moment counts.

Before we dive in, did you know there is an AI concierge that provides all FAQS and info throughout the events? All done through Whatsapp, perfect for exhibitors and attendees. Just make sure you are registered for the events and a message will be sent you in case you need assistance.

1. Build Your Agenda

Before you set foot on the show floor next week, take time to plan your schedule. Both events offer packed programs with keynotes, panel discussions, and interactive sessions.

??Try These:

  • Review the event websites and apps for session details. Links: Event Production Show & International Confex.
  • Prioritize must-attend sessions and add them to your calendar.
  • Leave buffer time between sessions to network and explore exhibitors.

2. Walk the Floor

The exhibition floors at these events are packed with cutting-edge technology, innovative event solutions, and new trends. Luckily both events have 360 virtual tours you can check out in advance, so once you get there you will be more comfortable navigating.

??Try These:

  • Explore EPSX360 and walk CONFEX360.
  • When you arrive start with a lap around the venue to get your bearings.
  • Identify high-interest zones to revisit later, note down the area, names, and stand numbers, or snap a quick pic.

3. Eye Up the Exhibitors

Make a list of exhibitors you want to visit and connect with them on LinkedIn in advance. Want to speak to someone directly? send them a connection request too with a note.

??Try These:

  • Visit the exhibitor lists online and shortlist key companies. Links: Event Production Show & International Confex.
  • Send a quick LinkedIn note when you request to connect (already connected? You're halfway there ??) before the show: "Hi [Name], I see you’re exhibiting at [Event Name]. Looking forward to visiting your booth to learn more about [specific interest]. See you there!"
  • When you meet people in person for the first time, mention you connected and spoke online (if you did that is).

4. Sign Up for Networking Opportunities

Beyond the show floor, structured networking events help you build valuable industry relationships.

??Try These:

5. Have Your Contact Info Ready to Share

Apparently, business cards are still a thing, so if that is your bag, make sure you bring them along. I'll be utilizing my LinkedIn QR code in a fun way (you'll have to come to find me to find out ??)

??Try These:

  • Locate your LinkedIn QR code take a screenshot and mark it as a favourite.
  • If you use digital business card apps, ensure they’re updated and tested.
  • Have a few traditional business cards handy for those who prefer them.

6. Get Comfy

You’ll be on your feet all day, so dress as if you're doing a 12-hour event day.

??Try These:

  • Wear comfortable shoes—blisters are not a good look, but bring plasters in case.
  • Dress in layers, as venues can be hot one minute and cold the next.
  • Carry a small backpack or crossbody bag for essentials like water, and snacks, and to collect any swag that may be given out.

7. Stay the Night

Whether you're local or not, staying the night (between the 26th and 27th - Day 1 -2) could do you a favor and make your experience less stressful and allow you to get a good night's rest after a busy day and get a little sleep in the next day.

??Try These:

8. Plan for Follow-Ups

Your networking doesn’t end when the event does so make sure you plan for following up.

??Try These:

  • Block time in your calendar post-event for follow-ups.
  • Send a LinkedIn message or email referencing your conversation.
  • Offer an insight, share an article, make an introduction, or suggest a follow-up call.

9. Take Breaks & Hydrate

With so much happening, it’s easy to burn out and feel overwhelmed. Pace yourself to stay energized.

??Try These:

  • Schedule short breaks to recharge.
  • Carry a refillable water bottle to stay hydrated.
  • Step outside for fresh air or find a quiet corner to reset.

10. Capture Content & Share Your Insights

Events are a great opportunity to build your personal brand by sharing key takeaways and experiences.

??Try These:

  • Take photos or videos of interesting booths, speakers, or moments, if you're into it make them into reels to share, and don't forget to take exhibitors and the shows.
  • Post highlights on LinkedIn with key insights using event hashtags.
  • Write a post-event blog or LinkedIn article sharing your top takeaways.

Most importantly have fun, there will be so many people just like you at the event and it is always a great feeling to feel the energy in the room when 100's of event pros are in the same room.

Are you attending? Let’s connect! Drop me a message or say hello if you see me, I'll be speaking on The Knowledge Hub stage at 12.15 pm on Day 1 on How To Build A Powerful Events Network ??
