Every day, you write, whether it’s a long essay, blog post, work document, email, social media update, press release, or business-related content. Your writing represents who you are personally and professionally, so it’s worth polishing your writing skills in general.

Writing has its general norms. Yet, each field has its specific styles that are peculiar to the field alone. In business writing, anyone who writes has to become a professional at it.

Why?

Business writing is purposeful and conveys relevant information. Today, more business is conducted through writing than through face-to-face transactions.

Business writing could include memos, emails, notices, employment opportunities and letters, reports, client proposals, press releases, business newsletters, contract agreements, and even social media posts.

In all, there is a need for writing competence. This competence can be got by applying the following tips as you go.

Tips to Improve Your Business Writing Skills

1. Know Your Audience

What will you write if you don’t know who you’re writing to?

First and foremost, you have to know your audience. Different people have varying roles across businesses. Even in a particular business environment, different people have different roles. The way information is written to a client is not the same way it is written to employees.

As such, each write-up requires a specific style of writing that will only be based on whom it addresses. It is the same thing with tailoring a business pitch differently depending on who you’re talking to.

You should always keep your audience in mind when it comes to all business writing. This will help you write better and precisely.

2. Know Your Reason for Writing

Now that you have your audience clearly in mind, the next thing is to know what you want to say to them and why.

If you know why you’re writing, you will easily get your points across straight. Business writing could either be to persuade, inform, present a product, service, or proposal or to educate clients on how to use a product or service.?

Having your reason in mind will guide you on what to write.

3. Be Very Clear

Once your information is clear enough, there will be no need for a physical exclamation. Clarity means removing vagueness, cutting out unnecessary information, and going straight to the point.

You can easily achieve clarity in writing by first gathering your information properly. Remember to answer the key questions (5 Ws and H): What, Where, When, Why, Who, and How. Having the answers to all these questions (if they’re relevant to the write-up), will make your work nice and clear.

4. Sound Natural

Professional writing doesn’t mean strict writing with high-sounding words. In fact, if your reader has to look up any or every word in a dictionary, then you’re not writing professionally.

You could simply keep out the hard words and use the simple words which you would use if you were to address your audience in person. While you keep it professional, with the right use of language, also use illustrative language that will help them understand at a local level what you’re saying.

5. Read from Others

To be a writer, you need to first be a reader. This is one of the most important tips you need if you want to improve your business writing skills.

Indeed, writing comes naturally to some people. However, this natural writing skill needs to be developed to suit the business milieu.

The more you read from those ahead of you in business, the more you know and the more you write better.

6. Have Someone Else Read Your Writing

It’s difficult to get better at writing if you’re not getting feedback from other people. One of the most efficient ways to see where you need to improve is to have someone else read your work.

This can either be a professional from your field, or a trusted friend or colleague, who understands business writing.

Whoever you choose, ask them to check your writing and offer feedback. They could spot the issues that might be in your shade and help you fix them before publishing.

7. Make Use of the Internet

There’s so much on the Internet about business writing, ranging from books to short courses.

The beauty of the digital age is that you can find online courses and other materials to improve whatever skills you want very easily.

Choose from the hundreds of e-courses that you can take at your own pace. Many of them are free and can be found through a simple Google search.

8. Write More and Often

Another important tip when you’re improving your business writing skill is to keep writing. It’s just like other skills; the more you practice, the better you’ll get. The more you write, the more you know how to write business write-ups.

When you often write, as time goes on, the results will show you that it was worth it. That’s, when you see just how much you’ve improved – plus, when those skills begin to make a real difference for your business.

9. Add a Call-to-Action

No matter what you’re writing about, there’s always an end goal. A call-to-action helps you determine if your content resonated with your audience.

If you want your readers to do something, then make it very clear what you want them to do and how (like you’ll see at the end of this post). Do you want them to share their thoughts on a blog post you just wrote? Or do you want them to contact you for business? Perhaps, you want them to buy your new app. Make it immediately clear with a call-to-action.

However, don’t be tawdry about it. Don’t try and use clever wording. Be as simple as possible.

Clean up Your Work Thoroughly

Who likes a cook who cooks good food but leaves the kitchen all dirty and messy?

You may have written your best, but once it’s full of errors, it will no longer be appealing. Seriously, proofread on screen. Change the font type, font size, and colour and proofread once again. Print it out if you can and proofread from the hard copy. Hire a proofreader if possible.

There’s much emphasis on this particular tip because the types of mistakes made do not only discredit the work but also discredit you and your business.

You probably don’t want to get a bad image of your business by making mistakes. The only way out of this is to proofread, edit, and proofread again.

Wrapping Up

You may not think creativity has a place in business writing, but you would be surprised. When you put together all ten tips to help improve your business writing skills and practised them to the extent that they have become part of you, business writing becomes creative.

The more creative touch your business writing has, the more likely it is that your reader is going to pay attention to it. After all, they read thousands of words online now and then – you need to give them a good reason to give you that time of their day.

Most business writing is done for customers. So, creativity that merges all these tips is especially important. Let your content tell a story that gives customers a reason to act based on your information.

How nice it will be if your writing is interesting and at the same time passes on the information in a clear, concise way.
