This method is a powerful tool for prioritising tasks and improving productivity by categorising lists into four levels of importance and urgency.
Level 1 Tasks
These are the most important and urgent tasks on your list. Level 1 Tasks are crucial for your success and have serious consequences if not completed. These tasks should be addressed first and given the most time and effort. We must single focus on our level 1 tasks and do them until they are completed before moving on.
Level 2 Tasks
Level 2 tasks are important but not as critical as level 1-tasks. They have mild consequences if not completed. Level 2-tasks should be completed only after all level 1-tasks are finished.
Level 3 Tasks
These are tasks that would be nice to complete but have no real consequences if left undone. They are often personal preferences or minor work tasks that can be procrastinated.
Level 4 Tasks
Your least most important tasks, these tasks can either be delegated or eliminated.
Using the 1 – 2 – 3 – 4 Method to Set Priorities
Once we have identified our tasks in a list, the 1 – 2 – 3 – 4 method can be utilised to set our priorities in more detail. Ask what the possible consequences are of doing something or not doing something. That will help you decide what is more important and urgent.
To begin, write numbers 1, 2, 3, and 4 next to your tasks to create a list of priorities.
Once you have categorised your tasks, you can further prioritise them by determining which ones are more important and will take less time, using a system such as 1a, 1b, and so on. It is essential never to tackle a level 2 task if a level 1 task is outstanding.
Grouping similar tasks together can help you achieve a flow state. A flow state occurs when you become wholly engrossed in the task at hand, with your peripheral vision focused. This can be particularly effective when making numerous phone calls, writing multiple emails, signing a large number of documents, doing PDP's or simply marking projects and homework. Many people often find listening to music at work helps them concentrate better on a task, blocking out the distraction from others.
