IT'S COMING. Sorry to be so dramatic. It's just that we're working on a lot of annual enrollment projects with clients right now, so we know the dread is real. Have you been handling annual enrollment for several years? It can be tempting to fall into a rhythm.? Mail the postcards. Post the flyers. Send out the emails.? But how do you know you’re providing the information employees?truly?need? Talk?*to*?your audience, instead of?*at*?them.? Try this: 1. Survey employees?well before?annual enrollment. Ask what questions they have and what information they want to see. Use their answers to inform your materials. 2. Host informational sessions?and give employees room to participate. Provide a comprehensive overview of your benefits, but don’t stop there. Share your screen and walk employees through the process. Use a virtual chat to solicit (and answer) questions. Record the session and share it afterwards. Break it into chunks and weave it throughout your annual enrollment channels and comms.? 3. Send a follow-up survey?after?annual enrollment. Ask employees what worked and what didn’t. At what point(s) were they confused? This is pretty self-evident: when employees match with the right benefits, it can greatly improve their lives. It's almost so simple that we take it for granted, but we need to remember that many employees, particularly those new to the job market, may not immediately know or understand what they need from their benefits. Education and empowerment will help these members connect with the best benefits for their lives, and utilization rates will follow suit. Open Enrollment went GREAT this year!…said no HR person ever. …except me, this year. ?? This year’s open enrollment was an active one at Cylinder, with lots of changes. We’re moving off a PEO, working with a new broker, and starting the new year with a new medical carrier. I had my work cut out for me to educate employees on the new plans and the required action everyone would have to take. ?? One of my team’s OKRs for the quarter was to develop and execute a communication strategy around Open Enrollment, and I landed on the perfect solution: memes. Lots of them. The cringier the better. Every day or two for two weeks, I posted memes in our company-wide announcement channel. I updated my Slack status to include silly emojis and messages. All the posts were accompanied by a movie quote or joke, as well as a nugget of information or call to action. I figured that if employees were rolling their eyes and laughing at my posts, at least they were reading them. ?? And it WORKED. Employees engaged with the posts. They joked about the references I made. They asked questions. A handful of folks even told me that they made a point to read everything I posted because they knew it would be funny. The result? 100% of eligible employees were enrolled in a new plan more than 24 hours before our deadline. Our brokers and enrollment platform managers sent me a series of all-caps emails that basically boiled down to “THIS IS GOING SO SMOOTHLY” and “I’VE NEVER SEEN THIS LEVEL OF ENGAGEMENT.” Even our CEO Bill Snyder gave me a shout-out for "bringing the funny to Open Enrollment," which I'm pretty sure is a sentence that's never been said before. The strategy paid off even better than I anticipated, and that's one more item checked off my Q4 list. Excuse me while I ride this high through the end of the calendar year. ??
