What You'll Do
The Executive Assistant will support the Chief Strategy Office and Chief Marketing Officer providing a full range of administrative support duties as the executive level.
- Schedule meetings and assist with calendar management for VP-level executives
- Work with travel team to book and manage executive travel
- Prepare and submit expense reports
- Welcome guests in a warm and friendly manner; determine the purpose of each person’s visit and directs guests to the appropriate location
- Check beverage, snack, and shared item supply levels and purchase as needed or directed
- Maintain tidiness and appearance of shared office spaces including breakroom, lounge areas, and shared workspaces
- Prep conference rooms for Exec led meetings, including stocking waters, cleaning white boards, arranging chairs, ensure technology is working, etc.
- Decorate for various holidays in the office, using existing or purchasing décor as needed
- Order & set up breakfast or lunches for office events or meetings, birthdays, new TM welcomes, etc.
- Make offsite dining reservations as directed for team events or trainings
- Check office item supply levels and purchase as needed or directed
- Maintain general organization of supply cabinets and storage areas
- Send and receive mail, documents, and packages and deliver or distribute items
- Performs additional duties as assigned by executives
- Performs other related duties as assigned
- High School Diploma; Bachelor Degree strongly preferred
- Minimum of five years of administrative support or other related experience
- Outstanding and proven organization skills
- Demonstrated professional communication skills
- Skilled at all MS Office tools at an intermediate to advanced level
