Can SharePoint Be Used for Project Management? Here's What You Need to Know SharePoint is excellent for document management, but can it handle project management? ?? The answer is maybe. While it offers essential features like task tracking, automation, and reporting, it’s not a complete project management tool on its own. Here’s how SharePoint can be utilized: Document Management: Easily organize reports, plans, and contracts.? Task Management: Utilize SharePoint lists for tracking tasks or enhance with Power Apps for additional customization.? Automation: Use Power Automate to streamline workflows such as automated notifications when new files are added.? Dashboards: Integrate with Power BI for comprehensive project metrics. ?? Consider This: SharePoint requires significant customization for project management. For many teams, using tools like Trovve or Microsoft Planner in conjunction with SharePoint may be more effective. Trovve, for instance, excels at managing file-heavy projects and integrates seamlessly with Microsoft 365. Interested in learning more? Check out the full article below for an in-depth analysis! ?? The Management 'Equalizer' #006 Todays review is one for all your 'Productivity Nerd's out there, of which I am one. I heard about this book from a PMO webinar and bought it last year. Come Up for Air by Nick Sonnenberg offers a solution to help regain control and improve productivity, when overloaded with tasks and tools. Below are some of the key lessons: ? The first concept is using the CPR Framework?to streamline workflows. Communication: Use the right channels for efficient, clear communication, reducing time wasted on unnecessary emails or meetings. Planning: Implement structured systems for managing tasks, projects, and timelines, ensuring alignment across teams. Resources: Organize resources for quick retrieval. Optimizing for retrieval—storing information where it's easy to find—reduces the time spent searching for files or tools. ? The key steps in each part of the framework are shown below: ? Communication: Simplifying Information Flow -Optimize communication channels: Avoid unnecessary back-and-forth by choosing the right medium for communication (email, chat, meetings, etc.). -Minimize email overload: Set expectations around email use and consider alternatives like team collaboration tools (Slack, Microsoft Teams) for quick updates. -Asynchronous communication: Embrace async communication to give team members the flexibility to respond in their own time, cutting down interruptions and creating more focused work. Planning: Structuring Projects and Tasks -Use clear project management tools: Adopt tools like Asana, Trello, or Monday to keep everyone aligned on tasks, deadlines, and priorities. -Visualize workflows: Implement kanban boards or Gantt charts to visualize timelines and deliverables, ensuring transparency across teams. -Plan for scalability: Create project templates and workflows that can scale as the team or project grows, avoiding bottlenecks or over-complexity as demands increase. Resources: Optimizing for Retrieval -Create a central knowledge hub: Set up cloud-based repositories (Google Drive, SharePoint, etc.) where documents and resources are stored, ensuring everyone has easy access. -Organize for fast retrieval: Use consistent naming conventions and folder structures, so files are easy to locate. Sonnenberg emphasizes the importance of optimizing for retrieval to cut down on time spent searching for resources. -Utilize tech effectively: Leverage the power of cloud storage and resource management tools to keep your information centralized and easy to update, reducing redundant file versions and disorganized storage systems. ? The philosophy of the book aims to help teams work smarter, not harder. On top of the book you can also utilize some free templates on the book's website. I would highly recommend the book for its practical, step by step approach to productivity improvement. ? Till next time !

?? Navigating D365 Project Management Challenges: Insights from My Experience ?? Implementing Microsoft Dynamics 365 (D365) is a transformative journey, but it comes with its own set of challenges. Drawing from my experience, I’d like to share some key areas that can make or break your project: ?? 1. Scope Creep Ensuring clear and concise requirements from the start is crucial. In my projects, establishing robust change control processes has been key to managing evolving requirements without derailing the project. ??? 2. Customization vs. Out-of-the-Box Striking the right balance between customization and using standard functionalities can be challenging. My approach has been to start with out-of-the-box features and only customize when there’s a clear, justified need, ensuring sustainability and easier upgrades. ?? 3. Data Migration Accurate and efficient data migration is essential for project success. I’ve found that thorough data cleansing and validation prior to migration significantly reduces issues and ensures data integrity. ?? 4. User Adoption Driving user adoption can be challenging, but it’s critical. In my experience, continuous training, involving users early in the process, and creating super-users or champions within the organization have proven effective in ensuring user buy-in and proficiency. ?? 5. Integration Complexity Integrating D365 with other systems is often complex. I’ve tackled this by adopting a phased approach, starting with critical integrations, and ensuring thorough testing to identify and resolve issues early. ?? 6. Timeline and Budget Management Staying on track with your timeline and budget requires meticulous planning and monitoring. I rely on detailed project plans, regular status meetings, and transparent communication with stakeholders to manage these critical aspects effectively. ?? 7. Continuous Improvement Ensuring the system evolves with your business needs is a continuous effort. Regularly reviewing system performance, gathering user feedback, and planning for periodic updates and enhancements have been my strategies for maintaining system relevance and efficiency. Sharing these insights based on my experiences, I’d love to hear from you! What challenges have you faced in your D365 projects, and how did you overcome them? Your tips and stories can help others navigate their own project journeys. #D365 #ProjectManagement #ERP #BusinessSolutions #TechChallenges #DigitalTransformation #MicrosoftDynamics365

Does this sound like you? Misplaced files are slowing down important processes, team members are working on different versions of the same project, and important tasks are lost in the shuffle of marketing emails and spam… ?? Microsoft Planner is Microsoft’s solution to this problem, giving teams the ability to organize their projects, tasks, and processes into a simple kanban organizational structure accessible by the entire organization and integrated with Microsoft 365. In Planner, tasks are easily created, categorized into stages, and assigned to different members of your team in seconds – fostering cloud-based collaboration while eliminating versioning issues. ?? Not to mention: Microsoft Planner directly integrates with all of the existing Microsoft Office applications, allowing your team to create + share excel spreadsheets, word documents, PowerPoint presentations, and more directly within Microsoft Planner. This keeps your teams’ files in order and allows managers to easily assess the status of projects and processes. ?? Every Microsoft 365 business subscription plan includes access to Microsoft Planner, meaning if your organization is already using Microsoft products + services you do not need to pay for an additional project management tool. The only challenge facing teams looking to use a Microsoft solution for project and task management historically has been confusion among general, less tech-savvy users. The similarly-named Microsoft Planner, Microsoft Project, and Microsoft To-Do are all fully-featured project and task management tools from Microsoft, resulting in confusion around which tool is best-suited to a given user or team’s needs. ?? Microsoft is aware of this problem as well, having announced earlier this year that in Spring 2024 all three applications’ functionalities and data will be consolidated into one tool: Microsoft Planner. All of the advanced project management features of Microsoft Projects, quality of life features of Microsoft To-Do, and cloud-based collaborative functionality will be combined into one unified platform. Microsoft has also mentioned that Copilot, its generative AI assistant, will be directly integrating with this new version of Microsoft Planner to make building comprehensive plans and assigning tasks even easier. At SOHO Solutions, we don’t believe in selling or promoting a service that we do not believe in ourselves – and we have found Microsoft Planner to be a remarkable tool for organizing our LinkedIn content, managing projects, and more. We are extremely excited about the near future of Microsoft Planner with the updates and integrations Microsoft has unveiled for release this Spring. ?? The team at SOHO Solutions are happy to discuss how Microsoft 365 services like Microsoft Planner can connect your people, protect your data, and strengthen your business.
