One of the biggest mistakes Event Planners make is putting all their effort & attention into planning & executing an event while allowing the event breakdown to be an afterthought. Here are 5 MUST DOs when breaking down an event: *Be on time (you’ll likely have less time to breakdown than you did to setup) *Have everything you need to successfully breakdown (tools, storage containers, transport cart(s), etc) *Work quickly (again, time is of the essence) *Work carefully (keeping your inventory intact & reusable is always the goal) *Be prepared to work around guests who are still at the event. Remaining professional is a must. Afterall, you never know where your next client is coming from. These tips have worked well for us! Can direct mail generate event space bookings? In the digital world, direct mail is stronger than ever. Here is an event venue direct mail campaign outline… ?? 1st. Who to send it to? Business owners operating companies with 50+ employees. Decision makers of committees with 50+ members. ?? 2nd. How to get the letter opened? Use handwriting for the name and address. Make it look like a card from grandma. Not a mass-printed piece of junk mail. ?? 3rd. What to say? Make them feel important and exclusive for having received this letter. Ask “Are you planning to have a company gathering this Christmas?” Make them an offer. Include all the bonuses and incentives you can. ? 4th. How to get them to book? Ask for action in the form of a call, email and follow-up via phone call if you haven’t heard back in 1 week. P.S. Direct mail is cost-effective, personal and one of the last ways to get someone’s full undivided attention.

On the morning of news we're officially sold out of our inaugural conference, I want to be honest about this project-- one we’ve never tackled before, and unfortunately came with no playbook (I looked). —It’s way more work than I expected, and not just because it's a massive event, but because we wanted it to be objectively valuable to current and non-customers, while accommodating many different needs and requests. —It would have been far easier to follow the typical 'user conference' path and offer only self-serving topics, sessions, and dedicated time for our sales team to meet with folks. But that’s not valuable to attendees. We're offering topics helpful to Everyone, even those that have nothing to do with products we offer today. —We didn’t want it to be a noisy space where vendors were fighting for attention and time, so we didn’t open it up to other vendors. These challenges were all on top of the logistical jigsaw that comes with any event venue, signage, agenda, speakers, catering, swag, etc. A month out!

Raise your hand if you've experienced an event emergency. ??♀???♀???♀? As event managers, we thrive on unexpected challenges, turning setbacks into success stories. With a smile and quick thinking, we navigate last-minute changes and technical hiccups. Picture this: you show up to set up you new and improved booth at an event and you walk into Dallas and find a pallet sitting at your booth that was supposed to be in Massachusetts! My labels even said ship to MA! The freight carrier swapped my pallets. In that moment, all I could do was make the most out of the situation to not completely tank this finial investment my company has made and turn away opportunity from the show because of a lack luster booth. What did I do? 1. Figured out what options I had. Got Creative. Can my items get shipped overnight? Can Freeman make a display for us quickly? Is there a local printer who can get us...well...anything? Is there something I can make or set up that's interactive? 2. Chose an option and rallied the troops. Once I had a few things to choose, I had to make a decision that wasn't an enormous investment and was definitely achievable in just a few hours. Then, get the team to help execute. 3. Just made it happen. I went to the ghetto of Dallas to find a large format printer who could produce large banners for us in an hour and a half. I sliced my own plugs on LED lights we purchased.
