Meetings often get a bad rap, and a lot of it has to do with a lack of collaboration and engagement. I created the passive to active meeting framework to create an easy to follow roadmap for meeting facilitators to ensure that they are getting quality contributions and engagement from the group. The steps include warm up, invite, pause, listen and observe, and interact. Open the call with something other than how was your weekend or how are you? These are autopilot questions that are going to get you autopilot answers. Instead, start off with a fun song, ask a question of the week like what Olympic sport would you play, or launch a poll. Meeting facilitators are the new entertainers of the workplace. Then invite your teammates into the conversation. Ask them specific questions to guide the discussion. Pause at least five seconds. At four seconds, it starts getting uncomfortable and awkward, and someone usually speaks up at second five, which triggers additional thoughts and questions from other teammates. Embrace that awkward silence. I promise you'll get used to it. Next, listen to what your team is saying. Make sure someone is taking down notes. And lastly, interact. Ask additional questions in response and engage in that back and forth discussion. Then start back at the invite step again. Meeting facilitation is more than just showing up these days. It takes thoughtfulness and practice to do it well, and I am so confident that you will get there with this framework.
