You're an IT manager who needs to implement change management software. What do you look for?

Change management is a motor which has a start/stop switch or it is a sequential program and a software can automate it from start till end. Seriously!!!! The title took me to the above imagination that it is so simple that a change management can be implemented by a software. As an IT manager with a change management background, I will thoroughly inspect the software to see at what extent it can support in simplifying the steps. It will not implement change but support change team in their efforts. The critical change management steps where human interactions are required will take place as usual face-to-face.

Analyzing the impact of the new software and determining who it will affect the most. Getting input from key stakeholders including employees who will be using the software. Establishing timelines and goals and eliminating roadblocks on the way. Creating and leading training programs.

Change management is to get all the key persons at one stage, by having the proper and better process solution where all the stake holders can unlearn the current process and adopt the new process with ease.

An IT manager should take into account a number of important considerations while deploying change management software to make sure the program selected fits the needs of the company: Interface That's Easy to Use (User-friendly interface) Personalization and expandability. Integration Skills Work Process Mechanization Evaluation of the Impact of Change. Analytics and Reporting. Observance and Safety. Working together and communicating Updates and support from vendors. Price and ROI (return on investment). By considering these factors, an IT manager can choose change management software that improves change processes, fits the demands of the organization, and increases overall operational efficiency by taking these elements into account.

Agreed requirements are documented well. FSD are signed and if any changes made to FSD, it should me amended and prior to the amendment, minutes meeting are shared and agreed with user. Timeline must be agreed and committed by all project member, stakeholders. Version control are essentials prior to deployment. This must be monitor by senior Developer or Application manager to avoid any left-out code that might impact to the application. Changes that are made need to be clear whether it's standard, emergency or low priority and its being document in procedure format. Prior to deployment, all related documents are need to be verified and to have a change control board to monitor these activities are essentials and can reduce the risks

The scalability and performance of change management software are crucial factors to consider. You need a tool that can handle the volume and complexity of changes in your IT environment without compromising speed, reliability, or security. It should be capable of efficiently managing a large number of change requests and processes simultaneously. Furthermore, the software should be able to adapt to your evolving needs and demands. Scalability is also about the number of configurations you (might) need to support with your tool. Especially when working in multi-disciplinary environments, one might need multiple workflows and forms for changes. Combining this with multiple product families or domains within one organization, the number of configurations will grow rapidly. So how to make sure that a change for one group doesn't affect the others and/or how to avoid that teams are bothered with forms or process steps that they don't need but get because others use it.

First and foremost, it's very important to have the right IT implementation partner that works together with you. This can be either be an internal devision an external partner. Furthermore, it's important to be aware of what kind of trends on a technical, but also on a business perspective are important in the next 5 to 7 years and therefore focus on them. This enables you to have even better scalability and be ahead of the curve by transforming your business.

Change management is a team sport, where different skills and capacities need to be orchestrated to achieve the desired results. Collaboration and usability is a must have in any tool, to facilitate adoption and promote interaction amongst different stakeholders.

Without adoption there is no ROI and the lifespan of the change is short. CX/UX/EX is 80% of the value creation. Many projects delver the technical aspects but do not plan to install capability. A unique and customised experience makes it relevant and drives the adoption. The better the understanding the faster the adoption.

I have designed and implemented product life cycle management for over 30 years across global MNC - the problem is to have ever function understand their responsibilities in the process and to others in the workflow - this also applies to the SOX certification I did …. In my own experience, I've seen that a lot of tools offer many great features. However, customers in many cases not really aware of what they actually need at the beginning of a project. Therefore, they end up buying a tool that has way too many features but does not properly cover the core needs. Therefore it's always important, as already mentioned earlierin this article, to do a dedicated business analysis with the dedicated requirements, and to be aware of what the company actually needs in the end.

Culture- With the correct to adapt to the change, the operational transformation will fail. To elaborate, to assist IT with the change, there is a level of responsibility to ensure that the change what is best for the org and not of that of individuals. It’s start from the top. It’s is not IT alone on this Journey.

While It's fundamental that change management tool brings in necessary governance/discipline/best practices, it should also 1. Recognise vertical/functional nuances 2. Prioritise agility above everything else 3. Projects the impact/criticality/scale of change to all roles involved in the CM process

All nice and good, but make sure to start with the process, not with the tool. The tool won't help, if you don't have a plan how to use it. Start with the process. Write down how you want to manage change in your company. Then try and test your change process, listen to the people, adapt, learn and improve. Once you are there, then look into a tool which might support you most with your process.

The software needs to be an enabler of human centred change, not bog people down in ticking boxes or unnecessary admin. The workplace is filled with enough distraction, so if its effective at reducing that, then great - but know it can't replace the human component that change needs. Other than enablement vs. bottleneck, my key tip is to ensure to action an impact assessment with those who lead and manage change.
