- So, you've gotten a response to your letter. If it satisfies you, you can send a simple thank you letter to close the matter. If it doesn't satisfy, you'll continue the conversation. But now you have a few important advantages. First, your correspondence response sets the tone and you should reflect it back to them. If they write short, you write short. If they use informal titles and greetings and such, you do the same. Establishing a relationship is like a dance and you want to be a good partner. Second, their letterhead or email signature might provide useful information such as phone numbers in case email bogs down or official titles you can use to show respect. Or they might have written their personal or company named differently from what you had in your first letter. Also take note of the from, to, and CC fields.
