- People hate team meetings, but why? I hear this all the time. "They feel like a waste of time," "That could have been an email," or, "We'll have a good meeting, but not actually take action. Everyone just leaves and forgot what they agreed to do." In other words, team meetings aren't having the impact you're looking for, so how can AI help? Well, as a manager, have you thought about the different meetings that you have? A recent Microsoft study found that the number one obstacle to employee productivity was inefficient meetings, and AI can provide a framework to think strategically about your meetings. Let's go back to that ChatGPT window, and I'll show you what I mean. In the prompt screen, you can start by asking something really meta, like, "Should I rethink team meetings, and what should I think about?" The tool will generate questions to ask yourself, and even ask your teams about the purpose, frequency, and other aspects of team meetings. What if you want to create frameworks for team meetings versus cross-functional meetings, meaning meetings with other departments? Not a problem. That's where the generative part comes in. You can adjust what AI provided and tweak it. After you think about specific types of meetings, AI can help create agendas. Here's a simple prompt. "Create a team meeting agenda that's more collaborative and inclusive." Yes, this prompt generated an agenda, but you may look at it and say, "Wait, this meeting looks like it's going to be 90 minutes long. My team meetings are only 30 minutes," so let's add a new prompt. "Adjust to make the meeting 30 minutes long." Done. Now, what if you want to tailor it to your team? Remember in the last movie when I told ChatGPT that I'm a marketing manager? ChatGPT remembers. You can add, "Make it specific to my team." And what if you want to have a team member talk about a recent challenge and role play how others would handle it? You can add that too. In other words, being as specific as possible in your initial request can create the AI output that's most relevant, and additional prompts will make the output even more helpful. What about after those meetings? Right after the meeting, here are three ways to put ChatGPT to work. First, give a prompt of, "Here are my notes with three action items and deadlines from our meeting. Can you put this in an email to team members so everyone knows what to do and when?" This makes sure everyone's on the same page. Second, ask ChatGPT, "Can you create an agenda for our next meeting to include checks into these action items?" Your future self will thank you. Third, ask ChatGPT to draft an email to your manager on the recent team meeting so your leadership knows exactly what your team is accountable for. Pretty cool, huh?
