Job Title: Recruitment Program Assistant (Part-Time, 10-15 hours/week)


Location: Louisville, KY (must have access to reliable transportation and be located in the greater Louisville area)


About Us:

Educational Justice is a non-profit organization dedicated to ending educational inequity by pairing 5th-8th grade students with high-achieving high school peers for long-term one-on-one tutoring and mentorship. Our mission is to improve academic performance and social development among underprivileged students. Currently, we serve the Louisville KY Metropolitan Area, as well as limited locations in Kentucky and Southern Indiana. We aim to expand our mission to other areas across the United States.


Job Summary:

The Recruitment Program Assistant will support the recruitment and programming efforts of Educational Justice's tutoring and mentorship programs. This part-time role involves assisting with logistics, communications, community engagement, and coordination to ensure stable program growth and expansion. The Recruitment Program Assistant will work closely with the Program Coordinator and report directly to the Manager of Programs and Student Recruitment.


Duties and Responsibilities:


-Administrative Support:

Assist with scheduling program events.

Maintain accurate records of Scholar and Activist applications, current school and community partners

Prepare and distribute program materials and resources.


-Communication:

Serve as a point of contact for students and parents/guardians who are applying for the program

Assist in responding to inquiries and providing program information from schools and the community

Planning and executing outreach to current and potential partners and participants

Support the creation and dissemination of newsletters, emails, social media, and other communications.


-Program Coordination:

Assist with monitoring program progress and gathering feedback on recruitment

Support the implementation of new program initiatives and activities.

Data Entry and Reporting:

Assist with data entry and management of program databases - in regards to recruitment

Help prepare reports and summaries of program activities and outcomes for recruitment

Help families and schools with application completion


-Event Support - MAJOR AREA:

Assist in planning and executing program/recruitment events and workshops.

Coordinate logistics such as venue arrangements, materials preparation, contact and participant communication.

Assist with tabling at events on behalf of EJ, helping coordinate volunteers for these tabling opportunities

Growing and nurturing the EJ program so we can serve as many folks as possible to the best of our abilities

Ensuring that EJ Participants feel valued

Nurturing EJ Participant’s sense of belonging and connection to EJ

Responding to questions and needs of their EJ Participants in a timely manner

Have a strong knowledge of the program, instructional models, goals, and software and resource tools.

Striving for excellence in the work of their team and themselves

Effectively communicating with EJ staff, Activist parents, and Scholar’s school teachers

Embodying and representing the mission and values of Educational Justice through your work and in the community.

Having fun and bringing joy to the work of EJ!

Candidate Preferred Attributes:

Strong organizational and time management skills.

Excellent written and verbal communication abilities.

Detail-oriented with a high degree of accuracy in work.

Ability to work independently and collaboratively within a team.

Passion for educational equity and commitment to Educational Justice's mission.

HIGH PREFERENCE for candidates with the ability to speak Spanish or other multilingual applicants

Has daytime and evening availability during the week, and occasionally on weekends as well


Minimum Requirements:

High school diploma or equivalent; currently pursuing or completed a degree in Education, Social Sciences, Non-profit Management, or related field is preferred.

Must have access to reliable transportation and be willing to drive and travel for work

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.

Previous experience in an administrative or program support role is a plus.

Strong interpersonal skills and the ability to interact effectively with diverse groups of people.

Availability to work 10-15 hours per week, with some flexibility for evening or weekend events.

Familiarity with educational programs and the non-profit sector preferred.
