Other contributors have proposed different solutions which I agree about, BUT the most important part is not about the tools, that is to actual have a consistent way of working with suppliers management. A consistent way of following up performance, clear escalations path, clear communications path etc. The support for this is of course tools, as suggested by others

You would also need to clearly spell out the limitations of your current system whether it is an excel spreadsheet or an ERP system. Having listed what you cannot do you also need to build a prioritized list of must haves and nice to haves in your new system. Ariba and SAP Fieldglass are options for larger organizations' that also want to have procurement functions embedded. Other include Coupa, Quantivate Beeline and Gatekeeper. At high level, this seems best solution for managing suppliers but the challenge comes as execution excellence is difficult to maintain. Most of such central dashboards are victims of garbage in garbage out . Unless automation is there dashboarding is little helpless.

Ability to work effectively with vendor ecosystem is a very important ingredient for the success of enterprise technology professionals. While there are many tools available in addressing multiple areas of vendor management, I’m yet to come access a single tool which addresses all domains effectively.

There is no supplier vendor management solution that can meet 100% of a company needs. What makes these tools so important, is the discipline in which the vendor and the company use these systems to ensure there is perfect process harmony!

In my experience, there is no specific vendor management tool or approach that can fit the unique needs of one specific organization. Take an inventory of the existing team collaboration tools you are using , they can be as simple as Microsoft 360, Sharepoint JIRA or Confluence. Try to leverage, extend and expand on the current capabilities. An existing ERP used in the organization like SAP or Peoplesoft CRM can be extended for Vendor your Managements and will integrate seamlessly with existing workflows. Build on what you have rather than investing into a complete unknown tool. If you are planning to decommission old applications then investing in the Cloud Platform makes sense in terms of cost efficiency, scalability and modernization.

One tool that I have found helpful in my experience is SAP fieldglass. It comes with an easy to use UI and provides robust analytics and reporting. Vendor Management tool should also provide a solid alerting mechanism to track the renewals and other activities in the vender management life cycle and SAP fieldglass does it well.
