A lot of people get processes and systems confused and use the words interchangeably. This should help clarify the difference: A process is something completely different than a system, and yet people tend to get them confused and use the words interchangeably rather often. A process, as defined by the Miriam-Webster dictionary is “a series of actions or operations conducing to an end”. I think of it this way - if it has a beginning and an end (much like a project) - then it’s a process, but if it keeps going with no clear beginning or ending, then it’s a system. Plus, they both start with “P”, so that makes it easier to keep processes and systems straight. I like easy. So here’s an example to help drive this concept home: As part of my work as an Online Business Manager, I help your company document its processes in a collection of documents called Standard Operating Procedures (or Processes); SOP for short. There are numerous reasons for documenting your SOP’s, and they bring great value to your business. For instance, have you ever worked at an organization where there was only one person who knew how to do a specific task? That’s a tough situation to be in. Your company should depend on systems and processes - not people. That doesn’t sound like it did in my head - let me clarify. Your people are your most valuable resource, and the systems and processes that those people use help keep your products and services consistent, reliable and efficient. Not to mention they delight your customers. Systems, Processes and People provide the Synergy that creates the foundation for an amazing business. So by clearly documenting your standard operating processes, and making those SOP’s easily accessible to your team, you can help ensure that consistent products and services are delivered to your customers, which helps build trust and familiarity with your brand. Think about a product or service you love and always return to; why do you keep returning as a customer? I bet it’s because you know you will always have a positive, rewarding experience with that company. That’s because the company relies on effective systems and processes to provide that to you. Just as your company should - and it can, with the right tools.
