Communication skills are vital for a paralegal. Here are a few tips on how to improve your communication skills: ? Practice active listening. A large portion of the information paralegals receive is through verbal communication. You must be able to actively listen to what is being said and identify the key information that needs to be addressed. (Side note: while at work or taking work calls, you should always have some form of note-taking capabilities. You do not want to miss vital information because you thought you could remember everything, and you end up forgetting. Speaking from experience!) When you actively listen, you can ask relevant questions, summarize key points, and expand on what has been said. ? Ask questions. To be able to effectively communicate and be an effective paralegal, you need to ask questions. A “yes” or "no" question may be all that is needed in certain situations, but to receive additional information or background information, you need to ask more open-ended questions. Attorneys typically assume that paralegals know everything, which is flattering, but it makes it even more important to ask these questions, so you have clarity. Attorneys would prefer you to ask questions early on and be informed when completing the task rather than not having all of the information and taking longer to complete the task or completing the task incorrectly. ? Be clear and concise. Being clear and concise not only with the attorneys, but also with clients, opposing counsel, court staff, etc. is so important. When you throw too much information at someone, it can be overwhelming. Before having a conversation, allow yourself time to gather your thoughts and decide what information is important and what does not need to be mentioned in each specific conversation. ? Seek additional training. There are CLE courses that cover this topic. You can also find countless courses and resources online that can help you improve this skill. The Top 4 Skills Attorneys Should Look for When Hiring a Paralegal: 1.??????Effective communication. Paralegals communicate with individuals on a daily basis while on the job.?Whether they are speaking with their attorney, clients, fellow coworkers, opposing counsel, prospective clients, etc., a paralegal is expected to be able to effectively communicate with each of these individuals and more! Being able to effectively communicate both verbally and written is extremely important and one of the top skills attorneys should look for when hiring a paralegal. 2.??????Independence. We all know paralegals must work under the supervision of an attorney, but no attorney has time to oversee every single step a paralegal takes when performing a task. Attorneys need to be able to trust their paralegal knows and will perform the necessary steps they must take to get a certain result. Obviously if you are hiring a newer paralegal that does not have the work experience to meet this expectation, this will not be your reality, but that does not mean they are not worthy of the position. Going back to number one, if they are great at communicating then you can guarantee they will ask the necessary questions to complete each task accordingly until they gain that experience to be able to work independently. 3.??????Insane organization. Paralegals are expected to manage a vast number of clients, files, documents, tasks, you name it! They must have incredible organizational skills to be able to handle this. They need to be able to effectively organize not only physical files, but also electronic files as more and more companies and firms are working remotely. These skills directly affect the productivity of the attorney and the firm. Having this skill is invaluable. 4.??????Patience. No matter what area of law you work in, it is very important your paralegal has a lot of patience. In addition to handling many different personalities (see number one), there is also always a chance something may change at the last minute. Using a family law case I previously worked on as an example, I was prepping upwards of one hundred exhibits for an upcoming hearing when the client and opposing party decided they wanted to work things out and dismiss their complaint. A seemingly positive outcome for the parties, but a frustrating moment for me as the paralegal after putting in so much effort into preparing for the hearing. 5 Things You Should Know Before Becoming a Paralegal: 1.??????You need to have an open mind, especially when it comes to your specialty.?Some may say it is important to know what area you want to work in, but you should not rely on that as your only option.?It is great to land a job in the area you were hoping for, but you may be pleasantly surprised working in an area you never considered before.?Upon graduation, I knew I wanted to work in family law.?The first firm I worked for was a large firm in North Carolina and they practiced almost every type of law you can imagine.?I had no idea what area I was interviewing for, but I knew it was an awesome opportunity as a new paralegal graduate.?At the time I knew there were two areas of law I had absolutely no interest in: real estate and bankruptcy.?Any idea what department I was hired for??YEP!?Real estate!?And I absolutely fell in love with it, and I quickly found out that I was exceptionally good at it.?I would have never known my potential in that area of law if I never had an open mind about it.?I did end up leaving a few years later to join a family law firm, but that experience was incredible, and I ended up using that experience to help the family law firm start their real estate practice as well!?Never say never! 2.??????Learn your attorney’s quirks.?Typically, no matter what the task, every attorney does it differently and expects you to do it a certain way as well.?Learn how each of your attorneys likes things done and do so accordingly.?You will make their job so much easier, and they will know they can trust you and count on you.?This is invaluable. 3.??????The level of client interaction varies.?Whether you interact with clients depends on the law firm you work for and how they are set up.?Some firms, even in the same area of law, may not have as much face time with clients as others may have.?Be prepared for either situation. The level of interaction is also client dependent.?You may work at a firm that does not have much face time with clients generally, but there is almost always that one client… IFYKYK. 4.??????You must speak up when you make a mistake ASAP.?Be upfront and honest.?We are human.?We make mistakes.?The longer you wait to mention a mistake, the worse the outcome may be for you, the attorney, the client, etc.?This will also build trust with your attorney and any others you work with. 5.??????You may or may not be the only paralegal at the firm.?If you are the only one, you have no need to worry.?With such a huge paralegal community, you will never be alone!?Talk with fellow paralegals, whether they are colleagues, former coworkers, fellow alumni from your degree program, connections on LinkedIn, etc.?You will not know everything asked of you in every role.?Use your resources for your benefit.?I promise their knowledge is beyond helpful. #paralegalsupport #paralegalcommunity #paralegals #remoteparalegals
