POSITION *Job Opportunity: On-Site Property Manager (500-Unit Residential Condo) *Start Date: Immediate We are seeking a dedicated On-Site Prop Manager to oversee the daily operations of a 500-unit condo/coop. Key Responsibilities: Leadership & Team Management: Provide clear leadership, guidance, & support to all team members, ensuring alignment with the community’s goals & expectations. Conduct regular staff meetings to communicate updates, set priorities & monitor performance. Address performance issues promptly & offer professional development opportunities. Foster a collaborative work environment, promoting teamwork & accountability among all staff members. Operations & Property Maintenance: Oversee all activities & work performed, ensuring efficient operation & maintenance of residential, commercial & shared spaces. Direct the day-to-day operations of the property, ensuring seamless facility management & service delivery. Facilitate & manage apt alterations, sales & sublet applications. Collaborate with vendors, legal teams, architects & engineers to ensure smooth project execution. Develop & implement a Preventative Maintenance Plan to address current & future property needs. Assess infrastructure, mechanical systems & safety measures, prioritizing necessary repairs & upgrades. Resident & Community Relations: Address resident inquiries & concerns promptly & professionally, fostering strong relationships with shareholders, tenants & commercial occupants. Attend community events, monthly board meetings & town halls to provide updates & engage with residents. Work closely with the Board of Directors to enhance policies & initiatives that improve residents’ quality of life. Actively engage with shareholders to create a collaborative & supportive community environment. Financial & Compliance Oversight: Work with the Managing Agent’s finance team to oversee budgeting, bill payments & expense tracking. Process third-party invoices & vendor payments, ensuring financial accuracy. Ensure compliance with evolving local regulations & property laws in New York City. Facilitate multi-million-dollar capital improvement projects, ensuring adherence to timelines, budgets & quality standards. Negotiate vendor contracts to maintain high-quality services while optimizing costs. Ideal Candidate: Minimum 3+ years of experience in property management, preferably with large-scale residential communities. Strong leadership, communication, and organizational skills. Proficiency in property management software and basic accounting principles. Ability to handle multiple tasks, resolve issues efficiently, and stay calm under pressure. Knowledge of NYC property regulations & compliance standards is a plus. Why Join Us? Some of your responsibilities will be reviewing and evaluating rental applications, issuing new leases, managing renewals, and ensuring compliance with legal and building-specific requirements. This role requires excellent communication skills, attention to detail, and a strong understanding of market trends and leasing regulations. Key Responsibilities: 1. Review and Evaluate Rental Applications: - Assess new rental applications to determine eligibility. - Verify the accuracy and completeness of application information. - Coordinate with brokers to ensure all leasing policies are adhered to. - Submit application packages to ownership approval where needed. 2. Lease Management: - Issue new leases with appropriate riders, ensuring they align with the building's specifics. - Verify that all payments have been completed and guarantee forms received during lease signing. - Review and process roommate switches and sublet requests. 3. Renewals and Rent Negotiations: - Issue FM renewals and communicate with property owners about renewal rents. - Negotiate renewal terms with tenants, ensuring a fair and competitive rental rate. - Conduct market research to establish and advise on market rents for vacancies. 4. Tenant and Owner Communication: - Remind tenants about upcoming renewals and answer any questions regarding lease policies. - Advise property managers on the details of each rental deal and negotiate expectations with new tenants. - Communicate regularly with property owners regarding market trends, rents, and leasing policies. 5. Voucher and Compliance Management: - Process and review voucher applications and packages by coordinating with the mayor's office and caseworkers 6.
