??? Minimum Spend: Necessary or Negotiable? ??? This is week three of breaking down the event planning jargon. This week, we shine some light on when/where you can negotiate on minimum spends. Highlights are below or you can check out the full blog here: https://lnkd.in/g7uKNTf6 A minimum spend is the amount a venue requires your group to spend on food and drinks to secure the space. The good news? You don’t have to pay anything upfront—most places just hold your credit card as a backstop in case your group doesn’t hit the required amount. Can You Negotiate It? Short answer: Yes… and no. Venues typically calculate their minimum spend by estimating how much they’d make from regular foot traffic if they didn’t reserve the space for a private group. That number becomes their "minimum" because they want to at least break even on what they’d otherwise earn. This amount isn’t fixed—it fluctuates based on date, time, expected crowd levels, and other factors, making it a moving target; for example, a bar is less crowded on a weeknight than weekend, and so the minimum would vary accordingly. Then, if you reach out directly, venues often size up what they think your group is willing to pay… and bump that number even higher. Whether you can or even need to negotiate depends on how you got the rate. If you’re reaching out to a venue directly, then yes—you can (and should) try to negotiate. After all, they’re already sizing you up and adjusting their quote based on what they think you’ll pay. This week, we crunch the numbers to help you decide whether an open bar is worth the cost. Highlights are below or you can check out the full blog here: https://lnkd.in/ehE7mCgN The Dive Bar Scenario: at a dive bar in NYC, an open bar generally costs?$45–$65 per person for two hours?before tax and tip. Let’s assume drinks cost: $10 for Beer: $10, $14 for Well drinks, or $8-$12 for Shots. For the open bar to be worth it at a?$55/person rate, each person would need to drink: 6 beers?($10 each = $60), 4 well drinks?($14 each = $56) or 3 well drinks and 2 shots?($14 × 3 + $10 = $52) The Upscale Bar Scenario: At a higher-end NYC bar, open bar rates jump to?$65–$95 per person for two hours?before tax and tip. Drink prices here are usually $17 for Cocktails, $15 for Wine, $20-25 for Top-shelf liquor, or $12 for Beer. At an?$80/person rate, to break even, you’d need to drink: 5 cocktails?($17 each = $85), 6 glasses of wine?($14 each = $84), 4 top-shelf drinks?($20 each = $80) or 7 beers?($12 each = $84).
