    Of all the Notion updates from last week's #MakewithNotion, I think Layouts will be the most transformative for teams. Here's why: A common occurrence with bigger teams, is as additional database properties are needed, or more powerful formulas are set up, it also creates more visual complexity, which can be super overwhelming to Notion novices or new employees. Database pages get harder to navigate, and key information is often lost. Customizable layouts allows for both powerful databases *and* intuitively-organized pages.     Excited to share Workcraft Labs is officially incorporated! It's all because of one big shift amongst clients, and one I’m here for… Since the start of the year, the structure of projects has changed dramatically. From 2021 to 2023, almost every project was a standard Notion workspace build. In some cases, projects included training, support, workflow optimization or setting up integrations. It was pretty consistent. But since the start of the year, *every* client project has grown to incorporate one of these two things: automation and/or AI. Startups, VCs, and even organizations outside of more tech-forward industries are getting excited about tools and systems that allow them to work smarter. There’s a growing awareness that small workflow changes can have big impacts, but many teams just don’t know where to start. Leveraging automation and AI is now within reach for virtually any business, making it easier than ever to supercharge work. As we saw at #MakewithNotion, new features, automation capabilities, and AI functionality have made Notion an even more compelling digital workspace for teams. What’s perhaps most exciting for me, is Notion's capability as *either* an all-in-one workspace, or as an aggregator of key information across multiple apps, made possible through AI & automation. This work is new, it’s often challenging, but above all, it’s fun. This shift toward implementing cutting edge tools will only accelerate, and clients are as excited as I am about how new tools and systems are fundamentally changing how we work. We’re on a mission to eradicate busy work, make using the most powerful tools feel effortless, and give back time and energy to teams to focus on deep, creative work. ????

    I used to think the most powerful Notion workspaces for teams had the most cutting edge dashboards, packed with intricate relations and any formulas users could possibly need. I learned the hard way this was all wrong. Complexity is actually a big reason why workspaces unravel. Teams tend to grossly underestimate the time and energy involved in adopting new tools or workflows. Workspaces are often hacked together, where some team members end up being power users while others shudder at the idea of opening Notion (or w/e tool). I learned this the hard way; a lot of my earlier workspace build projects were simply too complicated for the end-users, even though I thought they were pretty straightforward. I lacked critical information, and in some cases, clients ended up abandoning Notion altogether. But lately, I've stuck with a simple process to make sure *every* workspace decision is rooted in strategic problem-solving. Every Page, dashboard, database and block has a 'job to be done,' and does so in the easiest way possible. This means – at least in a workspace's infancy – no complicated relations, rollups, or formulas, and as few database views as possible. Again, only the absolute essentials. I'm sharing these steps live in a few weeks, so if you're interested, swing by! We're not getting into the weeds on new Notion features, fancy automations, or cutting-edge formulas; it's a simple set of steps that you can use for your own workspace, or if you're working with clients. ps. we're also (briefly) demoing a new team template I've been working on – which uses a few Notion features (that are technically still in beta btw).     Excited to share I'll be attending super Tiago Forte's Second Brain Summit in LA this week! There's one reason why this is a big moment for me… Three years ago, I realized you can learn (and apply) anything on the internet. But access to endless info means being selective with what you consume and how you act on it. Many of us face procrastination, analysis paralysis, and anxiety over whether we’re focusing on the "right" things. Three years ago, I realized you can learn (and apply) almost anything on the internet—including how to master Notion. But access to endless info also means being selective about what you consume and putting into practice what you learn. Many of the productivity challenges we face – procrastination, analysis paralysis, anxiety around focusing on the right things – largely stem from getting stuck in our own minds. For me, the best way to learn Notion was to create: writing blog posts, making tutorial videos, and helping random people on the internet use Notion. I got out of my own head and shared what I was learning, and now Notion consulting is my job. ?? Along the way, I found amazing creators who became my internet mentors, kickstarting my move into Notion consulting. Marie Poulin and August Bradley built systems that were nothing short of sorcery, inspiring me to organize my life and start creating templates. Khemaridh (Khe) Hy's content helped me see that leaving a traditional career path is not only okay but sometimes necessary, while Thomas Frank's top-tier educational content on YouTube showed how educational content can be fun, entertaining, and even binge-worthy. Ryder Carroll's "Bullet Journal Method" helped me see the benefits of taking a more nuanced approach to journaling, and Anne-Laure Le Cunff's mindful productivity approach inspired me to slow down and work with more intention. I’m thrilled for the Summit to dive deeper into strategies for deeper learning, knowledge curation, and moving from consuming to creating. There’s also something riveting about in-person, focused interactions as a solo/remote consultant. In a world of content overwhelm, curation is key to staying focused. It’s not about access but discerning what’s relevant and applying it. Above all, the one thing I'm most excited about is getting to learn from exceptional people that have opened doors for me and many other creators.     Having gotten a sneak peek at Notion's upcoming Charts feature, an idea hit me… Just because you can track data doesn’t mean you should. Let me explain. Our tools have gotten so powerful. Work is more intuitive, easy, and effortless than ever. When I first started using Charts, I couldn’t contain my excitement about all the things you can do with the data you’re already organizing in databases. And don’t get me wrong, I’m still super excited. This is going to be huge for teams who are tracking projects, KPI’s, OKRs, or other metrics in Notion, and will be a huge reason teams stay on the platform. But the more I explored Charts, I started thinking, “what’s a healthy thought process for deciding if and how to visualize data, and to what ends?” I came up with three questions that aim to maximize clarity without adding any additional time and energy burdens on teams. Before even touching charts, take stock of what data you’re tracking, and ask: ? How does this data help us understand our progress? ? How can we act on what the data shows? ? Does this data help us align as a team toward a shared mission? If there’s clarity around these three questions, the next step is defining what data to visualize and how. Key notes: ?? What two planes of measurements are most helpful? ie. revenue growth over time (x=months y=amount) ?? What format makes synthesizing information easier? Last note, there will always be qualitative metrics that are just as (if not more important) than number values. The ease of synthesizing numerical data can skew what we measure; but organizing and reflecting on the more subjective data points (customer reviews, employee sentiment, etc.) is also critical, whether or not it’s easy to visualize.     It might sound silly, but a 30 minute planing session to start the month helped me take back 20 hours that would've been spent in 'foggy productivity' mode. I'm sure you've been there: ending the workday where, maybe you got 2 or 3 big things done, but also spent hours drifting, or bouncing around the lowest-leverage items on your to-do list. This is ??? foggy productivity. My monthly planning routine has gone through a bunch of iterations, but by tracking habits, exercise, what I've read or learned, and journal entries, I can easily see areas of growth, and areas to improve. Here’s why it's valuable: ?? See Patterns: Track daily habits to find what works. ?? Celebrate Wins: Noticing small achievements keeps me motivated. ?? Plan Better: Learn from the past to set better goals for the next month. How I do it in Notion: ?? Set Up Habit Trackers: Log daily habits with tags like "Exercise," "Reading," or "Meditation." ?? Journal Daily: Morning gratitude and goals, end-of-day wins and challenges. ????♂? Log Workouts: Track exercise to see progress. ?? Document Learning: Write down key learnings from books and articles. ?? Reflect Weekly: Review entries, spot trends, and adjust goals. Start simple and track what’s most important to you. ??
