Event Planning ? Do’s & Don’ts ?? Planning an event, whether a corporate summit or an intimate celebration, often feels like juggling 10 things at once WHILE ice-skating ??. To keep everything running smoothly, here are our go-to Do’s and Don’ts we’ve learned & implemented over the years: -DO- ? Define Your Purpose & Budget First ?A very clear goal and financial framework prevents confusion down the line and helps a vision come to life. ? Prioritize Your Guest Experience ?From inviting engaging speakers to offering interactive elements & fun merch, think about what makes attendees feel extra considered and special. ? Communicate Clearly with Vendors ?Weekly or bi-weekly check-ins and thorough contracts ensure everyone’s aligned on deadlines and deliverables. ? Build a Contingency Plan ?Outdoors or indoors, big or small—shit happens. Always have a Plan B (and sometimes Plan C). ? Solicit Attendee Feedback ?Create quick post-event surveys or use interactive tools (ex: live polls) during the event. Insights from attendees help you measure success, identify pain points, and plan even better experiences in the future. -DON’T- ?? Procrastinate ?Last-minute venue bookings or vendor quotes limit your options and will undoubtedly cost more. ?? Overcomplicate Your Schedule ?Cramming too many options and activities into a few hours or even over a full day will overwhelm guests (and you!). Plan built-in downtime or have a slower-flowing schedule overall. ?? Skimp on Refreshments ?If you want attendees to stay happy (and awake), don’t cut corners on food, drinks, or coffee breaks. ?? Forget to Follow Up ?A post-event email to thank attendees and gather feedback goes a long way for building lasting connections and gathering insightful feedback. ?? Host All Day or Multi-day Content-only Sessions ?You’ve got to mix it up with a bit of fun and unique networking opportunities or social activities. People are going to check out and attendance will dwindle if it's too long or too intensive. TL:DR- If you can’t keep it simple, make sure it’s guest-focused, strategic, and most of all, memorable.
