We are seeking a highly organized and detail-oriented Administrative Assistant to provide support. The Administrative Assistant is an in-person position reporting to the CEO. The ideal candidate will have strong administrative skills and be able to work effectively in a professional, fast-paced, and confidential environment. Experience in economic and community development programming and outreach is desirable. Familiarity with Microsoft Office and QuickBooks is preferred.
Key Responsibilities:
- Provide administrative support to CEO and staff members.
- Manage office operations including, but not limited to, answering phones, managing mail and emails for the organization, and organizing meeting schedules for the organization and staff.
- Prepare and manage meeting agendas and minutes for multiple development organizations and boards connected to the organization.
- Assist with the preparation, development, and review of project applications, reports, and presentations.
- Coordinate logistics for events, workshops, and community meetings.
- Maintain organized filing systems for multiple organizations, project documentation, and correspondence.
- Assisting CEO with investor and board member engagement.
- Assist with grant application processes, including gathering documentation and completing paperwork.
- Collaborate with team members to ensure efficient project coordination and implementation.
- Assist with financial recordkeeping and bills payable.
- Assist with social media accounts including content generation for email blasts and newsletters.
- Represent the organization at meetings as directed by CEO.
- Schedule meetings with companies for outreach.
- Coordinate and execute entrepreneurial outreach and referrals with partner organizations.
- Other duties as assigned.
Qualifications:
- High school diploma or equivalent; and appropriate professional certifications or degrees.
- 1-3 years of administrative experience.
- Excellent organizational skills with a keen attention to detail.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with QuickBooks.
- Ability to maintain a variety of specialized files ensuring confidentiality of records and proper handling of confidential and sensitive information.
- Ability to work independently and as part of a team in a fast-paced environment.
- Passion for improving Jackson County, Ohio.
- Prior knowledge of programming related to land banks, brownfield remediation, business development, or tourism is a plus, but not a requirement.
