An information asset register and records of processing activities together describe your data landscape and handling processes. They are fundamentally valuable for compliance, risk management, operational planning and the identification of opportunities to leverage data. There are a number of key foundations for implementing a Data Reduction Strategy. ? Data Inventory The starting point is to have an inventory of your data assets, so that you know what you have and can quantify and prioritise the work to be undertaken. This will include electronic file collections, data sets in line of business applications, data warehouses and lakes, and physical record stores. Importantly it includes identifying as far as possible the data stored within "Shadow IT". ? Data Purpose and Value Based on a profiling standard, identify the processing purposes of your data assets and understand their value (or indeed their potential liability). This will lead to key decisions on what is unnecessary, needed only temporarily, or has retention requirements for operational, statutory, evidential or heritage reasons. Plans can be put in place at the data asset level, including for example cessation of collection, minimisation, deduplication and disposal. In addition to value, the resource and technology costs of collecting, maintaining and processing data is important to identify and track. ?? Carbon Impact Interfacing data management with your ESG agenda is hugely important; a key objective of a data reduction strategy is digital decarbonisation. What is the impact of the way that data is stored, processed and transmitted? How can this be reduced? We are developing a recording, calculation and reporting tool. Operationalising Records Management Good practice in records management will embed data minimisation, data quality, retention, disposal and preservation into your data handling processes and business operations. We have created a Records Management Blueprint that is designed to help steer organisations in reviewing their practices and creating an action plan. ?? A guide to help facilities managers create workspaces for the hybrid working generation has been published by the British Council for Offices. The BCO’s flagship “Guide to Fit-Out” hadn’t been updated since 2011, but this third edition offers best practice on office interior design to attract and retain talent amid changing working patterns and environmental regulations. It features advice on how to facilitate hybrid working, embed AI and smart building technology and prioritise occupier health and wellbeing. It also now includes standalone sections on health and wellbeing, fire, acoustics, vertical transportation and structural engineering.? ? In terms of sustainability, it guides FMs on a circular economy approach to fit-out, to minimise waste and maximise reuse and retention of furnishings and fixtures.
