Knowing where data lives inside any organization is easier said than done. Tying into systems, scanning databases, and flagging areas of concerns. But that's just scratching the surface. The big question is: now what? A list of questions to pose: - What processes use this data - Why do we have this data? - Is this data used for AI? - Is this data consented to? - Should we keep this data? - With who is this data shared? - When was the data collected? - What if we anonymize the data? - How long should we keep this data? - What's the impact of deleting the data? Sounds a lot like a Privacy Impact Assessment. Then feed that data into your list of business processes. Then build a repeatable, contextualized process to keep this up to date. The 5 pillars to an effective Cookie Governance program: (Most privacy programs only have point 1) 1. Policy & Procedures 2. Cookie Assessments 3. Inventory Mapping 4. Effective Scanning 5. Ongoing Maintenance Disclaimer: I'll say cookies a lot but am using it as a catch all for cookies, pixels, trackers, tags, etc. 1. Policy & Procedures: -?Cookie Review: Key considerations for executing a cookie review effectively -?Onboarding New Cookies: New cookies, tags, or tracking technologies must undergo an assessment process for approval and record keeping -?Offboarding Cookies: Existing cookies, tags, or tracking technologies must undergo an assessment process for approval and record keeping -?Cookie Blocking - Cookies on our company website(s) must have the proper blocking technique controls in place 2. Cookie Assessments: what to understand before deploying a cookie on a digital property (the same applies to mobile apps but with SDKs) - Cookie Name - Cookie Category - Cookie Purpose - Cookie Description - Cookie Lifespan - Cookie Party - Cookie Data Collection - what data does it collect and does it share - Cookie Deployment Method - how is it deployed on the site (GTM, Source code, etc.) - Cookie Deployment Date 3. Inventory Mapping Your digital properties and their trackers should be tied into your data inventory. Understand the third parties, hosting locations, data collection methods and purposes. This should be an inventory item tied to your processing activities and assets. Keep a log of not only what cookies but the deployment source and purpose of the each cookie. 4. Effective Scanning - Look behind logins - Scheduled scans and emailed reports - Identify source of tags - 1st, 3rd, 4th, 5th, etc. - Auto classify cookies and show changes over time 5. Ongoing Maintenance The most common scenario is privacy handed cookies over to marketing but never checks to make sure it's working regularly. Need to put a maintenance and regular audit plan in place to ensure new tags/scripts/pixels are being managed as expected. This 'Cookie Monitoring' as FLLR Consulting calls it is crucial to ongoing success of any implementation. Designing an effective cookie governance program is often overlooked despite it being the most customer facing aspect to any privacy program. We can help!
