The right tools for productivity start with the right perspective on productivity itself and specifically it is an outcome from a healthy organization that embraces the 3 spaces of an organization: 1. Transactional - what we do and how we do it. 2. Relational - who we are and why we matter. 3. Creative - generated by the transactional and relational spaces working well together - productivity. If we are intentional with celebrating the wins transactionally and relationally we will see productivity jump off the charts as people are empowered, valued and heard along with what they do and how they do it!

There's a saying that, in my opinion, sums it up quite well (paraphrased): “…It doesn't matter the speed, power, or intensity when you travel, if you're unaware of the destination you're heading towards...” The key is to have always clear what you want to achieve.

Choosing the right productivity tools requires understanding your team's needs and workflow. After you identify the improvement needed, review your current productivity tools to ensure they are being used to their fullest capacity before investing in any additional tools. For instance, in a previous organization I was a part of, we initially did not fully capitalize on the capabilities of our payroll system by investing in all its available modules. When we expanded our investment to include the time and attendance, as well as the self-service human resources modules, we observed an enhancement in our operational efficiency, and the staff's pre-existing familiarity with the system allowed for a seamless integration into their workflow.

In current changing dynamic business landscapes, relevance and continuous Upgrade of existing productivity tools becomes imperative. Besides SWOT analysis, one must check competitive benchmarking with peers on productivity tools being used. For e.g with AI enabled services, productivity measurement through data enabled auto real time performance capturing softwares, tableau needs to be adopted. Integrating these with existing systems across organisation so that same can be used end to end efficiency across connected verticals.

In my experience, I believe not one tool serves the purpose all the time , a close monitoring of the need and a quick response action as per the situation can help .

At one time, a boss brought a team together but soon realized that their cohesiveness and communication was off. The boss organized a trip for all employees but planned to have the car brake down in a town outskirt. The boss wanted the employees to loosen up and start solving problems together. In the end the workers started talking and walking back to to the office by foot and in unison. In the end the team became uncomfortable but ended becoming a better team.

In my opinion to improve team's productivity, Vision should be clearly understood, how do they align with it and what do we need to do collectively and individually to meet the end goal. Once above is clear, team will be focussed and purpose on working on any assignment will be clear. Roles and Responsibilities with clearly laid out KPI's can then be set along with the team so that alignment and acceptance is from both sides. Once above is inplace, timely review mechanism should be implemented along with providing clear feedback on what went well and what is area of improvement. Active listening, appreciation and showcasing empathy will certainly go in a long way to improve productivity and meet organization goals simultaneously.

Although the focus is on finding tools to increase a team’s productivity, the way to improve a team’s productivity is to ensure psychological safety on the team. There are 4 practices that she puts into place for this: 1) acknowledging fallibility- embracing a “fail-fast” approach to projects 2) fostering a learn and be curious culture, 3) frame projects and work overall as a learning problem - keep that Day 1 mentality and 4) Promote conversational turn taking- seek diverse perspectives among the team. During my professional life I have had the pleasant opportunity to work with excellent managers, but most of them have brought me clarity and the perception of the best way to approach and mediate conflicts. Among several options that I have tried, I bring two behavioral aspects that lead us to succeed most of the time: 1) Empathy and 2) Nonviolent communication. Putting ourselves in the shoes of those involved and talking politely puts us on a different level.

No tool will help when the company culture is too perfectionist and doesn't allow people to make mistakes. One industry that often creates that atmosphere is finance and insurance for obvious reasons. However, if you physically can't allow people to make mistakes on the job, make sure there are safe areas/environments for testing. Almost following the IT industry 1:1 - create a copy of an OS where they could test and innovate in order to boost the effectiveness and innovation of the firm.

I would certainly get the input of my team before testing it out myself or on random scenarios. And it's not always just about meeting our own expectations in requirements.. it's meeting your team where they are at any given time.

I agree in order to understand how a process works we must test it’s functioning. Knowing what’s considered lowest, medium and optimal capacity is important and how to achieve each level as needed must be established for efficient, effective and quality productivity.

I consistently remind my clients just because it worked doesn’t mean it works. The key is to regularly review and adjust our strategies. It's about staying agile and recognizing that what once boosted productivity might not be as effective now. Continuously evaluating team performance and being open to making necessary adjustments ensures ongoing optimization for success.

I believe it's also evaluating and adapting. Sometimes we feel to comfortable and miss the opportunity to adjust and make improvements.

Be flexible. With flexibility, you find reviews and adjustment a lot more easier. Additionally, you may find that rather than using a tool, what would fit your team would be a combination of tools or a bespoke version of the tool or software etc.

My personal suggestion is to have always clear in mind that simplification is the way to increase productivity for teams. Cancelling bureaucracy, increase the communication process (clear and direct), to have simple and clear targets, to have the right mood among the team will implement automatically the productivity.. think simple and act coherently.. productivity will arrive...
