In my experience, I have succeeded at designing and improving processes using the DMAIC framework (Define, Measure, Analyze, Improve, Control). It starts with defining the process that you want to design. Note down answers to below questions, which will form the premise for defining the process. 1. What is the process for? 2. What is it trying to achieve and what is the scope of the process? 3. Are there any issues, challenges or risks? 4. Who are the key stakeholders who will be part of the process or benefit from the process? Some of the tools that can help defining the process are Process Charters, SIPOC Diagram, Stakeholder and Customer analysis and affinity diagram.

In my experience, defining the problem before undertaking a process design would require understanding the problem (the current situation) through observation, documentation analysis and process mapping through MS Visio to really understand the situation, properly articulate the problem and identify gaps. The process map typically helps to visualise and identify the actual problem which would help with a gap analysis to ascertain the critical requirements needed to pivot from the current situation to a future state thereby resolving the problems identified.

In my experience, the choice of a methodology for a new process design often depends on the goals/benefits to be realised for the process design project which could be (streamlining operational processes, reducing waste, improving quality or expanding capacity) which would require the Six sigma/Lean methodologies, the requirements of the process design as detailed in the gap analysis undertaken, the project teams process design methodology expertise and readiness which would critically impact eventual process design implementation to achieve the agreed process design objectives. Also the Kanban board an agile project management framework would be required to visual tasks so as to manage workflows for effective project management.

Ask yourself will this be a human process, a system process or a hybrid of the two? Will technology tools have their own swimlanes? Be sure to follow best practices for business process notation. Will ensure ease of comprehension for when a layman picks up your process flow.

It is a fact that in order to improve something, one needs to first start measuring it in a way that is acceptable and as per standards. So tools such as process mapping, measurement systems analysis, histograms and frequency plots, and process capability analysis are helpful to measure the current and historical state of the process. Further, in order to continuously improve the processes, it is important to follow a particular framework. In my experience, DMAIC (Define, Measure, Analyze, Improve, Control) framework comes in handy. Process improvement tools such as Brainstorming, Failure Mode and Effects Analysis (FEMA), Design of Experiments (DOE), Pilot testing and Control charts are useful in order to improve the processes.

When designing a new process, it's important to consider various methodologies to ensure efficiency, effectiveness, and alignment with organisational goals. Lean maximizes value and minimizes waste. Six Sigma reduces defects and variability. Agile is collaborative and iterative. Design Thinking focuses on empathy and prototyping. TQM ensures long-term success through customer satisfaction. In my experience, the choice of a methodology for a new process design is largely influenced by the specific goal the process is seeking to address / achieve. Process design objectives such as operational efficiency would require a Lean methodology/ process that reduces waste. This will be completely different if process design goal was for continuous improvement which could attract a TQM process methodology. Similarly a traditional waterfall project methodology will be inappropriate for an iterative based process design. So, obviously the first question to address in the choice of a methodology for any process design would be the alignment of the process design objectives with the benefits of any chosen methodology.
