Use technology to automate scheduling, inventory, and guest feedback. Schedule focused blocks of time for high-priority tasks and reduce interruptions by setting specific periods for meetings or responding to emails. Lastly, develop strong communication systems to ensure that teams are aligned, allowing you to focus on strategic decisions and guest satisfaction.

Create deadlines for yourself to stay on task. Reward yourself once you finish a task. Everyday set up your goals and ensure you cross your lines once completed.

Write your To-Do List of the day along with the time. This will not only help you balance your time but also prepare you for the upcoming day. Try to finish maximum work possible for that day because not everything can be done. The remaining to be prioritized for the next day and the task to be finished.

Time is something you can ever get back. Delegating to your staff allows individuals to grow with active participation. Review the project results with positive feedback and that individual will be more engaged to take on additional assignments.

Continuously throughout meetings, events, or tasks, I take notes that usually turn into a form of brainstorming. Based on this, at some point—mostly in the evening when I have a quiet moment—I send a 3-5 minute audio to ChatGPT to reflect on those thoughts and organize them. With my 'assistant' at hand, I am usually then able to reorganize my thoughts and prioritize. It also truly helps me to formulate these ideas into a clear message that becomes understandable for the team. This process is naturally very rudimentary, but it massively speeds up the structuring of my thoughts and notes. From this, I usually dive into more traditional task systems, such as CRM, PMS, BI, and other tools.

Within the hospitality industry, it is important to build circular data streams. What do I mean by this? You need to capture the right data and have that data talk to the right places. Trying to build circular data steam so there is a nice experience for your customers when they are ordering/booking, this information needs to talk to the CRM portal where you can get the data and make positive interactions with the customers, it also needs to go to cloud reporting for stock etc. You need systems that feed into each other, this will not only make life easier for staff but it will keep your customers coming back. A lot of software has inbuild integrations to make this easier.

I’ve realized that taking time to properly train my staff is one of the best ways to save time in the long run. When my team is well-trained, they’re more confident and capable of handling tasks on their own, which means I don’t have to constantly supervise. By scheduling regular training sessions, I make sure everyone stays updated on the latest practices and understands the standards we need to maintain. This not only helps prevent mistakes but also keeps daily operations running more smoothly, giving me more time to focus on other priorities.

Find a leader who is truly dedicated to helping others develop. Training is not what is was back in the day. A lot of training is about cutting corners we have to be willing to go back to the basics and develop and train new hires. Invest in your employees so they are willing to invest in new hires!
