The best way to find a system is to start off simple, ask yourself some questions such as "how do I want my calls to distribute?", "Do we want handsets?", "Do we need to integrate with our database?". A lot of systems offer the same features but it can be complex to set them up, also some of the features on certain systems will be chargeable. So take your time, speak to a few providers and take up the offer of demonstrations to see the systems working.

Phone systems aren't, anymore. We simply call them that for simplicity, but they're actually collaboration systems now. Gone are the days where you simply have a phone on your desk where it rings and you answer it. Today there's numerous software baked in and powered by numerous data centers. If you're not receiving an SMS text client for every employee (think AOL instant messenger), along with video collaboration, and mobile apps to take your business calls outside of the office on your personal device, you've been over-charged for something that doesn't meet the most basic standards of communications today. There's 100's of VoIP providers that sell just about everything, but they're pricing is very different and 80% of orgs overpay.

The best thing to do is to find someone who will advocate for you. There are far too many companies who have great marketing, but when it comes down to customer service, they are difficult to reach. And some companies are outright incompetent. My suggestion would always be: ask a professional. The "phone system" as we know it is dead and buried. Everything moving forward will be a cloud based, future proof solution and there are numerous options to choose from. Questions to be asked include: Do you want a desktop phone (often referred to as a $500 clock), or does a "soft client" provide the solution you require? Do you want an IVR building with a professionally recorded welcome message? What about international calls - is that an integral part of your requirements? The more information you can provide, the easier it is for the professionals to either suggest one particular product or build one with your specific needs.

Most of the systems available do most of the features most businesses will need. Find 3 local experts who have good reviews/testimonials and ask for advice and demonstrations. Hard to say much more as every situation is different. Other than perhaps choose one of the more well known providers rather than something small and niche. If a small company goes bust and takes your numbers with it, it may be difficult to continue service and/or get your numbers back.

Phone features are more important to develop business. Some time cost are less important while you travelling and you can access your mail, your daily work on your phone.

If you start with the basics that are easily expandable,upgradable with your business then it will save you both time and money as you grow. In my professional experience I was usually the person speaking to a company after they had already purchased a phone system and had an IT person in place. A couple of big items I saw that were often overlooked until late in the project were available sequential numbers (both what was available and how many in smaller exchanges) and also whether there would be local special access charges with smaller local providers. It never hurts to call and ask as many questions from service providers as you can before moving forward with installation.
