If you're starting out, think beyond the usual software - email, social, website etc! A Harvard study suggests that success hinges on strong client relationships, not just tools. While essential software like scheduling and video conferencing matter, don't overlook platforms enhancing interaction and feedback. Prioritise software that helps understand and connect with your clients deeply. This human-centric approach can set your coaching business apart in a digitally crowded space. Remember, it's all about people and solving their problems, not just programs!

The best CRM is the one you'll actually use. Every CRM is going to has its pros and cons. There are so many to choose from, it can be daunting. And opinions about CRMs can be a polarizing as politics and sports teams. Just remember that you can build a nice multiple six-figure (or bigger) business with almost any of them. Salesforce is the biggest in the market, but in my experience, overkill for the solopreneur. HubSpot is next, and very popular, but can get very expensive as you add features. Pipedrive is also very popular and capable, and focused more on pipeline management. I personally use KeapCRM, since it does all those things and is one tenth the cost of HubSpot.

To start an online coaching business, you don't need a website at first. You can start by customizing your social media profile with a clear offer, a clear professional profile picture, and a professional banner that is related to your offer. Then you need to create valuable content that shows that you are an expert in your field. You also need to tell your own story in your content, so people know that you have been through this process yourself. Then you start to engage with people in your niche in the social media chats and send them a Calendly link to have a call with you if they are interested in your service. When you make a sale on the call with the prospect I recommend using Stripe.com or PayPal.com as payment processors.

Because new coaches may not be adept at all the nuances of starting a new business as well as be cash ready for lots of new software, it's wise to start simply and build from there. It's important to have something that helps you not just track your clients, agreements, assessments, etc., but also the relationship you are developing and that is a key point--maintaining communication. I've found what may seem too obvious that Google offered what I needed for the first several years of my practice. Through Drive, I have forms for each client file, through Sheets, I have finance, client hours and info (for continuing certifications), through Calendar scheduling, notes, and online meeting links, and, of course, email.

The most important tool any coach should have is the scheduling calendar apps. I personally use Hubspot and Calendly. These two apps can be easily integrated into my website and Google calendar on the my phone for interested parties to book appointments with me. Give it a go!

There's also OnceHub, which is what I use. Both integrate with most CRMs either natively or through zapier.

I use Calendly.com in my coaching business and I find it very useful. As a beginner, you can even use the free version and upgrade as needed. It's usually important to keep costs down until you have your first sales. When you upgrade you can add several links for different kinds of meetings, for example, sales calls, coaching calls, calls with team members, etc. It also allows you to collect name and email addresses from the prospects and ask several qualifying questions, so you can determine if the prospect is qualified before the call. Calendly also allows you to add team members, for example, sales representatives, so you have all appointments in one place.

I use Stripe.com and PayPal.com to collect payments from clients in my coaching business. They work great and satisfy all needs. It's easy to add several products/services to both platforms and create payment links or invoices that you can send directly in any email or social media chat. If the prospect is a little hesitant to add their payment information to Stripe, then PayPal is perfect, because a lot of people trust PayPal more. It's also easy to track your revenue and failed payments and get a yearly statement when it's time for your tax report.

You can start with some of the more popular software payment options like Stripe because it does integrate quickly with scheduling like Calendly but you can also use Venmo where before or after a session, you can send a reminder for payment that makes it just a regular part of the payment process without it being personal--just maintaining good business practices.

He usado varias opciones, desde Paypal (que en lo personal no lo recomiendo mucho porque he tenido algunos problemas) hasta Stripe, que me resulta bastante efectiva y se integra perfecto con cualquier CRM que tengas. También he usado pasarelas de pago locales acá en Chile que son bastante efectivas y cumplen el cometido. Lo importante es contar con un mecanismo de pago online que sea fácil para el cliente y ágil para tu negocio. De esa forma garantizas los flujos de caja.

I use Zoom 6 times a day, 5 days a week, and being able to visually see each other, has made the connection and relationships with my clients stronger. I now can offer private 1:1 coaching, group calls, workshops, and virtual events, and expenses are manageable.

I would recommend these online meeting platforms for their unique values: 1) Zoom: most convenient platform for both coach and coachee to use the built-in tools, hassle-free. 2) MS Team: Easy to use if you are a coach from the organisation (as you can access the built-in tools), Not too friendly for people outside the organisation as the tool has a security access from outsiders to access those tools. 3) Google Meet: Free for you who have Google account (free accounts apply too). 4) Others: WhatsApp, Messenger, WeChat, Line, KakaoTalk.

I'm currently using Google Meet because it's part of Google Workspace and is equally easy to work with as Zoom. I love that with all of the enhancements since Covid, you can employ almost any activity as you would in person and experience honest transformation. I live in Northern Ohio and often when weather inhibits live meeting, we meet online. One particular time, we engaged in a perspectives challenge that was actually easier than in person because the client had access to everything in their home--not just what they could easily carry with them to a session.

El paradigma de las sesiones de coaching cambió radicalmente con la irrupción de lo digital. Para muchos coaches ortodoxos, conservadores y tradicionales era casi que un sacrilegio tener sesiones online. Eso era impensable. Just like you tell your clients, it's not failure if you learned something new to help you move forward.

I have my clients do 20/20/20… 20 minutes of mindfulness (listen to podcasts, read books, watch YouTube’s, around your coaching niche), 20 mins of soulfulness (meditating, prayer, affirmation, mantras, breath work), 20 minutes of minutes of moving your body (workout, dance, hike, walk, stairs). Make this system a habit and your life and business will be changed forever.

You should consider having a video conferencing tool that is easy to use for all clients as you can't know just how tech savvy the client is. Make sure you also have a digital calendar but don't forget that some clients might not have access to technology and so it's good to keep a good old fashioned agenda.
