As an event/experiential marketer, the answer to this question depends on your objective in offering promo items. If you use the promo items to draw attention then a happy medium between perceived value and quantity are important but for me I use promo giveaways as a reward for visitors who interact with my team. So the answer from me is think about your objective, the audience, and budget.

Trinkets and trash will always be thrown away, but a memorable, nice giveaway will stay on your prospects desks and in their lives for years to come, constantly reminding them of your business.

In my experience use products that will catch the eye quickly, fast and a short synopsis. A small video with very informative information. Make your production short and sweet. With pamphlets of quality information that is eat to read quickly and readily.

In my experience, sometimes the more memorable it is, the better. I was at a show where custom printed large bars of fair trade chocolate were being given to some select visitors. What made it memorable was that the visitor had to qualify to get the chocolate - and it turned into a bit of a competition. The vibe on the stand was great and made others queue to visit. Chocolate isn't right for everyone, and physical products should always be purchased with a view to the sustainability and waste agenda.

There are three things to take into consideration: know your audience, sustainability, and conference theme. Knowing your audience is critical when creating memorable swag for conferences. Answer questions like: What does my target audience use on a daily basis? Is there a viral item that is popular with this audience? Sustainability is of utmost importance when thinking of show merchandise. Attendees receive a lot of items at conferences and a lot of it of ends up in the trash bin. Think of items that can be reusable + repurposed! Lastly, if possible, select an item that is also on theme with the conference and/or location. For example, if the conference is in New Orleans, you can have a branded mug + packaged chicory coffee blend.

When I was head of marketing for a folding carton manufacturer, my most well-received promotion was creating a popcorn box with our company name that contained various ink, foil stamp, and coating options. I made sure each year to include "Visit Us at Booth xxx". We had two popcorn machines in the booth, so the smell of popcorn wafting throughout the likes of the Javitz Center created a buzz amongst the participant. The best part of the promotion was the person holding a popcorn box that read Visit Us at Booth xxx as they walked the convention floor, as well as boxes being left on the tables of other booths, lounges, etc. The best validation was when your largest competitor comes by and asks for popcorn because their CEO had a box...

Aside from a knowledgeable and competent sales staff at the booth, having a few good videos, depending on the product, can be very helpful, especially if they reflect potential client pain points and the company's solution sets. The audio on the videos do not have to be overwhelming nor the screens the biggest in the world. Subtitles are always good. If you are in a multilingual setting having several playing the same video with different languages would be a plus. They should be professionally shot and edited by those with considerable experience in creating such videos. I have put together videos from everyone from the US Forest Service to Symantec and Lockheed Missiles and Space. Videos are great ways to introduce concepts and products.

Not exactly an answer to this question but I always recommend exhibitors to look at their promotional goods budget and actually buy less throw away pens or mouse mates that are never used. Soend the same money but buy less items but better quality ones and only give them to selected people in return for email adds or an appointment etc. There is way too much wastage(not to mention items going into landfill) with lots of sub standard promo goods being thrown around. Make your prom good far more valuable to who you give it to. Give value Get value.

Seriously more time is always a good idea. You never know when there could be a stock issue, a mistake, a bad print job, or a delivery delay or issue. Had a client receive an order that wasn’t even theirs! Thankfully there was time and it was fixed. Or that time when thousands of flash drives were stuck in Alaska because of volcanic ash from a pacific rim volcano. Recently had a situation where a client received t-shirts that did match the snapshot from the factory. Thankfully we had time to fix it and get it to the client on time. I say this not to scare you but to make you aware and give you insight.

This very much depends on the exhibitors product or service. We predominantly work with service providers and we look at what would be really helpful for the ideal client. This could be an aspect of their service or a physical thing that is relevant to the exhibitors clients - and again useful. The key is that it is something that, if used, will be helpful to the client and memorable for (at least) the follow up.

The key is to sync your messaging and brand together… if you are a online company that sales file security, a pen will totally miss the mark with perspective clients. To prove a point, recently my company evolved into a SaaS company that tracks data. So for our upcoming events, we have purchased branded AirTags. I’m positive we will run out… but what a great and creative way to sync your Brand Messaging with an actual tracking device. A good rule should always be thinking 2 birds, 1 stone. Besides, the way prices have skyrocketed, the promo item budget is always the first to be cut.
