You're planning a big event. How can you make sure it's unforgettable?

When you see something at an Event, and an inner voice comes out, that sounds like WOW - Thats where the Event Manager wins. You need to understand the WOW of your audience, just spending insanely cant get you there, just putting humungous structures cant get you there, you need to align with the thoughts of your audience.

Focus on the book-ends; the first moment, and the last moment. These are the two most important opportunities of any event and solidify the memory for attendees.

Ensuring an unforgettable event involves meticulous planning with the guest experience at the forefront. Before finalizing any details, it's crucial to step into the shoes of the attendees and meticulously examine every aspect of their journey throughout the event. Are there any potential gaps or missed opportunities to enhance their experience? Will they feel genuinely valued and catered to at every turn?

Know your client, know your audience, and tap into the five senses to deliver unforgettable experiences. Taste - Food and beverage - sweet, sour, savory, etc. Smell - Food, floral, candles, but don't over do it! Visual - Lighting, linens, floral, art, venue. Sound - Music, sound dampening, speaker delivery. Touch - Texture, furniture choice, movement.

Plan your event around your audience and now exactly who the ideal target is. Don't kill them with Power Point presentations. Make the event fun, entertaining, engaging and informational. Audience participation is a must. I also like to add the addition of stories. Sharing your stories and having the audience share theirs.

Decide what your priorities are. For example, you are designing and producing a pop-up experiential PR installation. Which is more important - the number of people who experience it, or the number of people who see it later online? If the answer is the latter, save yourself the location costs and operational costs that it would take to keep the experience open for an extra day or two. Instead, channel that budget into finesse, scale and wow factor. Make a bigger splash in a shorter timeframe. The earned media stats will thank you later.

Success to planning a memorable event is understsnding the purpose of the event and setting clear objectives. Are you launching a new product or celebrating a milestone? Having a clear vision of event purpose is key to successful planning and making the event memorable. It will help align strategy,budget, resources and set your event at the top of others to achieve the vision and purpose. Having timelines, proper food and beverage, seating, AV, entertainment and marketing for event are all important ingredients to set realistic budgets and expectations for success.

I feel that one important factor to consider is an old saying ... 'Many hands make light work' But in saying that is important to that your team share the sane vision as you do. Welcome ideas abd suggestions , allow constructive criticism and be willing to adjust for the good and success of the event while maintaining your vision. Delegate and work together and you will find that the event will not just be successful but spectacular.

It sounds so simple, but when you really dig in, you figure out that it's not so much "being unforgettable" as what your guests and your team do with the memory: - Are people talking about your event the next day/week/month/year? What story are they telling? - Are you generating referrals from the event? How? - Are your competitor's customers saying "we wish we would have been at your event?" to your salespeople/execs? - Are the people who attended the event starting convos with your people? - Are your salespeople/execs leveraging the stories from the event to start conversations? When you take this perspective, it gets easier to track conversations through tech like CRM, which makes it much easier to uncover the event's true ROI.

This is all true. I would add “how does this event align with your (company/organization etc) mission.” This will save you in more ways imaginable.

Don’t be fooled by thinking a ‘wow factor’ needs to be something big and bold at your event, it can be present in small details, sensory experiences or other elements you add to the event.

The way you treat your audience plays a significant role in making your event stand out. I've observed that providing goodies can make the event even more memorable for the audience, particularly when organizing events for college students. These gestures of appreciation are often well-received and can enhance the overall experience, fostering a positive relationship between the event and its attendees.

Sometimes it’s the simple things stand out. People love to be heard. If you are great in the planning process you will have learned what is important to your audience. Use that personal touch and find ways to incorporate it into the event. It makes people feel seen, like they belong.

The wow factor is about how you make your audience feel, because that’s how you create unforgettable memories. Did they connect with the message from your speakers? Did they love your personalised gift bags? Did they make new like minded friends? The wow factor isn’t always big and flashy it’s about how you make your guests feel at your event and long after. So don’t forget to think about how your guests will feel at your event!

In my experience, it’s always good to have backup plan to encounter the possibilities that tend to go wrong. The plan has to be very flexible and always keep a calm mind. Making changes last minute are common and the best decision is the decision that is right and relevant at that point of time/situation.

Na minha experiência durante o evento que organizei (SINCID), foi crucial ser flexível e saber se adaptar. Planejamos realizar apresenta??es individuais dos integrantes do LINDA. No entanto, enfrentamos contratempos e nos vimos diante da necessidade de alterar o formato. Nossa primeira ideia foi cancelar, mas n?o queríamos tirar os participantes dessa experiência, ent?o decidimos alterar para uma mesa redonda/bate-papo. Essa mudan?a nos ajudou com o cronograma, mas mais importante: tornou a conversa muito mais dinamica, proveitosa e interessante para os participantes. Essa experiência destaca a importancia da flexibilidade e adaptabilidade para garantir o sucesso de um evento.

In my experience, doing a risk assessment before the event allows you to be adaptable. Risk assessments are about empowering you and your team to be ready in case something should veer left instead of right. Consider things like: What if your shipment doesn't arrive? What if someone were to get injured? What if the venue double-booked your space? What if the elevator isn't big enough to fit your display? The second step is to communicate the plan to your team. Ensuring that your team knows things like who is to communicate with the venue, what's the protocol in case of emergency, who is responsible for what, etc. helps keep everyone calm.

Remain calm and composed. Like a duck, you can glide on the surface. They won’t realise your frantic paddling as you seamlessly move on to contingency plans. Of course that goes without saying that you need to have contingency plans in place. Expect things won’t always go to plan.

Hire enough individuals to make the event run smoothly! Flexibility and adaptability comes when you are able to stretch your resources along multiple touchpoints in the process leading up to and during the event.

Listen to your delegates - often they ask for topics different to what senior managers or leaders set out as important subjects, it is a fine balance between pushing out what your organisation wants to cover and making sure they feel listened to. Drop in some new angles on old faithful subjects if that is what they want to hear (again!) but also bring in your new topics to encourage wider thinking. Where you do listen to direct feedback make sure somewhere you have told them that you have listened and actioned e.g. In the conference welcome, in the brochure on socials etc.

I am learning for the big events, To ensure an unforgettable event, focus on creating engaging activities, incorporating interactive elements, and providing opportunities for learning and improvement. Also consider interactive workshops, hands-on demonstrations, and networking sessions. Encourage attendee participation through Q&A sessions, group discussions, and interactive games. Additionally, offering post-event resources such as online courses, webinars, or community forums to continue the learning and improvement journey beyond the event itself.

In my experience focusing on personalization is key. Tailoring every detail to the audience and occasion. Creating unique experiences with captivating entertainment, interactive and elements. Incorporating innovative technologies and engaging storytelling. Attention to detail and exceeding expectations leave a lasting impression on attendees.

"Unforgettable" lies in the details and in all the ways you consider your stakeholders' preferences and needs. It's important to consider not only large "wow" moments, but small moments throughout that show you were taking the theme, hosting organization, and stakeholder needs into consideration. Events that run seamlessly can be forgotten about easily, but the small things--like making sure that each person who has a dietary restriction, accessibility need, or unique relationship to the event is given time and attention. If someone does not eat dairy, for example, giving them a dairy-free option of what everyone else is eating is a small touch that will make them feel more included with the group, eliminate stress, and allow them to enjoy.
