Conflicting stakeholder feedback is typically due to a misunderstanding somewhere that’s led to the conflict. Active listening while probing for more detail using open ended questioning will help to reveal requirements that might be well understood by your stakeholder, but may not be well understood by your project team members or perhaps simply weren’t well articulated and documented. Depending on your project, it’s likely that your stakeholders won’t appreciate the need to be very detailed with documenting requirements, success criteria, and impacts on upstream activities. To them, these things should be obvious and easy to understand. So, follow good business analyst rules and listen, ask open ended questions, and document.

To align project outcomes effectively in the face of conflicting stakeholder feedback, prioritize active listening and open communication. Hold individual meetings or focus groups with each stakeholder group to understand their concerns, needs, and expectations. Identify common goals and values that can be used to bridge the gaps between conflicting opinions. Develop a clear, concise, and measurable project scope statement that outlines the objectives, deliverables, and timelines. Ensure that all stakeholders are aware of and agree upon the scope statement to avoid misunderstandings and misalignment.

Feedback from stakeholders is necessary and often can be conflicting. It is important to listen, document and understand the position that the stakeholder is coming from. Try and gather as much feedback as possible from as wide an audience as possible to identify if the feedback is consistent with the group, or from individual perspective. Allow the stakeholders to have their say and seek clarification and examples to support the feedback. Ensure that you provide realistic timeframes for feedback and the method of communication.

Once the feedback has been assessed, analyse the feedback in relation to the PID and Project Business Case to make sure that the feedback is related to the project, and to identify if there is a 'miss' in the project definition / scope that needs to be addressed

Having analysed the data, consider the impact on the project and the stakeholders, ensuring that the project objectives are not affected, or whether a change request needs to be raised. stakeholder engagement will need to be revisited prior to any feedback

Make sure that the communication method agreed when the feedback was raised is followed, and any updates against the original feedback timeline are provided, this will encourage trust and continued feedback loops. Ensure that the responses are succinct, have a definite and clear outcome, even if it is not positive news, covering as many as the stakeholders as required. Document the feedback accordingly.

Where appropriate, and where aligned to the project benefits and scope, implement the changes required that have a non-detrimental affect to the project (based on sponsor and key stakeholder sign-off), ensuring that this is planned, and the project impact is fully updated and communicated

Every tie=me there is a change, this should be assessed as the project continues, and incorporated into the regular project reviews, and feedback of the change impact should be incorporated with the stakeholder communications.
