To pinpoint the root cause effectively, it's essential to deconstruct the entire process into detailed activities, scrutinizing their nature, timeframes, and intricacies. Expand each activity by addressing the fundamental questions – What is the activity? Who is involved? Where does it take place? When is the deadline? Track the completion status, distinguishing between which ones are finished, ongoing, and pending. Study how each activity is being done. By systematically examining these aspects, we can discern problems and their locations. Once identified, solutions become more apparent. This meticulous approach allows for a comprehensive understanding of the workflow, facilitating targeted and effective problem-solving.

One of the key points for meet deadlines is to prioritize task (recommend to use urgent X important matrix ) and resources (money, machine, people, etc). Prioritization is key in all fields including the personal life.

A key element for a team to meet deadlines is at the beginning of the process: Have the team members define the deadlines themselves, and negotiate with them earlier dates if deemed necessary. This will empower the team and help prevent unrealistic expectations.

Tell: Leader decides, team follows. 2. Sell: Leader persuades the team of the decision. 3. Consult: Leader seeks the team's input before deciding. 4. Agree: Decision is made through consensus. 5. Advise: Leader suggests, team decides. 6. Inquire: Team decides, informs leader. 7. Delegate: Leader entrusts decision to team.

Delegation is not abdication. It’s hands-off but eyes-on. Perhaps it can be compared to teaching someone to swim. You can’t just walk away! That’s what makes it a powerful training method. Companies would save millions if managers learned how to delegate effectively.

The team's failure to meet deadlines may stem from various factors. It's essential to examine who established the deadline and how it is set. Typically, deadlines are set based on the team's past experiences in completing similar tasks within the designated timeframe. If there are changes in team composition or delays in any part of the process, meeting the deadline becomes challenging. Identify the specific activity causing the delay, determine the responsible party, and look for recurring patterns. Coach team to recognize process gaps from start to finish and take corrective actions at points where delays or inefficiencies are observed. Assess whether the tools being used are appropriate, as using the wrong tools can contribute to issues.

Encourage team members to openly discuss challenges, share insights, and collectively brainstorm strategies for enhancing productivity and meeting deadlines. The key is to keep deadlines so realistic & steep that with adequate infrastructure support & the right amount of inspiration & motivation one can achieve them. The other key is the collaborative team spirit where they cooperate to coelevate each other. THE team as a whole is much bigger than the sum of all its parts & that is what needs to be effectively leveraged.

Its important to analyse the deadlines to understand, expected time taken, resources needed, skills required, factors within control, factors out of control, risk mitigation strategy, contigency plans. Then the team can also be assessed on skills , competencies and time given to complete deadlines. Group interaction and synergy needed, specific on ground challenges ongoing and anticipated and course of action for the same. Analysis also of why presently deadlines are not being met. Basis this holistic data, and key derivatives from it, we can set the achievable deadline

If you are missing timelines, the first question one need to ask is "were the timelines determined after due consideration for potential risks?" Application formulae and tools sometimes hide potential risks. Risks are to be identified with insight and any collapsing of timeline be done with due care. Identification of root cause must be done before any corrective action otherwise the vicious circle will be unbreakable.

Involving the team to set their own deadlines works well. When they say it, it’s true! Otherwise it’s YOUR deadline / target. They need to own it.
