Property inspections can have different objectives, so the schedule and notification form depends on. Most types of inspections do not require tenant's work stoppage, so can be carried out at any period of working hours, preferably when the facility has the least number of visitors. For example, inspections of fire safety and occupational safety requirements fulfillment. Notification of tenants is carried out in 3 stages: ? electronic mailing to company offices 2 weeks before the scheduled inspection date, ? announcement in the chat room of tenants and the management company with a reminder 1 week before the inspection. ? delivery of notices by the property managers to tenants' representatives on site in the shopping or office center.

Communication is key. I have built a communication process in to my services system. This establishes communication at multiple key points during the process, confirming times dates and key points, and does not allow either side to move forward with out consent from both sides. I have created it with urgency in mind, with streamlined process for approvals

One thing I found really helpful and effective is to inform them in advance (2 weeks to 1 month before the activity) and send text blasts 2-3 a week before the actual day of the activity. It helps them to be reminded and aware of the activities within the property and easier coordination with the people involved in such.

We have to undertake regular compliance inspections of retail units within stations. Obviously we will avoid the peak rush hour times of 7-10am and 4-7pm, and it’s also best to work around lunchtime. That leaves a fairly small window, but with good planning and communication with the tenant, it is possible to minimise disruption, especially if you are fully prepared prior to your inspection.
