How have you successfully managed property maintenance challenges?
-
To effectively manage multiple properties with maintenance issues, prioritize tasks based on urgency and impact. Use a centralized maintenance management system to track requests, schedule repairs, and communicate with tenants. Establish strong relationships with reliable contractors for quick resolutions and consider preventive maintenance to reduce future issues.
-
Over communicate. Tenants want to know that you are addressing the issue and on it. Don't wait for them to ask you for an update. As soon as you know a timeline, make the call or an upate.
-
I ensure that each property has a clear maintenance plan with tasks ranked by urgency and impact on operations. I delegate responsibilities to trusted team leaders and implement real-time monitoring tools to track progress across all locations. By centralizing communication and using technology to automate routine tasks, I can efficiently manage resources and ensure that issues are addressed promptly. Regular check-ins with the team keep everyone aligned, allowing us to handle multiple challenges without compromising on quality or speed.

People, Process and Technology (to support your people and process). Today’s property management can’t be run from notes on the back of a napkin any longer. Property management requires communication (within your team, with your clients, and with your tenants). Communication allows you to assess and prioritize. Process allows your team to effectively handle building maintenance proactively and reactively. Technology allows you to effectively communicate and execute process.
-
There are 3 simple steps to managing multiple Maintenance issues. I call them the three Ds: 1. Define the problem/task at hand 2. Devise a plan/ develop a solution 3. Do it/Delegate it Following this mental plan will dramatically improve your work flow.
