1 Know your scope

Talk to your teams to understand what their day-to-day looks like so that mutually agreed deadlines can be set. Ensure that your CRE team actively monitors and receives information on external deadlines and plans accordingly. Establish regular check-ins to monitor progress. Understand the deadlines your key stakeholders face (e.g. Financial reporting, CapEx forecasting & budgeting, Tax disclosures, etc). For leasing, design and fit-out projects ensure you assess the risks associated with aspects of delivery and supply chain and factor in reasonable contingency for cost and time over-runs. Management typically only likes to have pleasant surprises - but manage expectations in a 360 degree way to accommodate less favourable news.

Effective tracking of progress regarding tasks and project work is essential to maintain a well-oiled CRE organisation. Daily tasks such as responding to FM tickets, security and lease-related activities need to run smoothly for the CRE organisation to deliver world-class service to its clients and stakeholders. Project and fit-out work should also be delivered consistently but at the same time, accurate and timely reporting on costs vs. budget vs. timeline are an essential part of continuous improvement. Choose your IWMS and CAFM tools carefully and ensure that the data that enables them is clean and well maintained and supplied. Encourage your teams to create reporting dashboards - this will empower them and provide strategic insights.

Expectations refer to the assumptions, beliefs, or desires that you or others have about your project and its outcomes. Set Realistic Deadlines: Ensure deadlines are achievable by considering all factors, including potential setbacks. It's better to underpromise and overdeliver. Prioritize: Not all tasks are equally urgent or important. Prioritize based on impact and deadline, focusing on what moves the needle. Delegate: Utilize your team's strengths. Delegating effectively can help manage workload and meet deadlines more efficiently. Feedback Loop: Encourage open feedback to identify bottlenecks early and adjust plans or expectations as necessary.

Managing expectations is a balancing act that requires skill and is built upon experience - inevitably learning the hard way in some cases. First, identify who your key stakeholders are. In the CRE world your clients are the business lines you support and the people who rely upon you to deliver and maintain a great workplace. CRE teams also have other key stakeholders such as Finance, IT, Marketing and HR - all key strategic partners that both depend upon CRE and support CRE in some way. Ensure that your stakeholders and clients understand the world you operate in - what you can and cannot control in various situations. This makes for much more transparent and constructive tactical and strategic problem-solving with these partners.

6 Seek help when needed

Finally, managing deadlines does not mean that you have to do everything by yourself. Sometimes, you may need to seek help from others to complete your project on time and meet your deadlines. Seeking help can mean delegating, outsourcing, or collaborating with other professionals, experts, or partners who can support you with your tasks, activities, or deliverables. Seeking help can also mean asking for feedback, advice, or guidance from your manager, mentor, or coach who can help you improve your skills, knowledge, or performance.
