But this is not enough as we have seen during Covid times the systems became bottleneck for business so systems are no more just tools to achieve business goals. Rather now systems are changing how business is being done so system goals should be defined keeping in mind technological evolvement in addition to business goals with 50 percent weightage to each.

1- The stakeholders & processes maturity level matters a lot when selecting the BPMS, sometimes we select complex systems while the organization itself is not mature enough and vice versa. 2- Data and process analysis features and dashboards is much significant when selecting the system, because it helps in improving the process and functions performance throughout measuring the KPIs. 3- System must be dynamic when it comes to modelling, reviewing, and authorising the processes.

In my experience of choosing a software I would look what’s my organisations runway and alignment to the purpose! Process software cannot be working as a stand alone but should have integration with strategic goals as well as capabilities.

Most important question you need to sort out is who do you expect to do design work and will you they be working alone or will there be multiple concurrent users working on the same problem. Recognize that most BPMS systems sit there and do nothing- they expect the user to have an idea about how to start modeling & what they should be modeling. You should also probe the methodology that the tool implements- will it allow you to model everything from roles, organization structures, processes, tasks, technology, KPIs, data types & anything else that your business process understanding requires? Will the outputs of the tool even be understandable by your user base? How easy is it to make revisions to models or perform database operations?

Scalability: Will the software cater to our growing needs as our processes evolve? Can it handle increased data and user volume? Support and Training: Does the vendor offer robust support and training resources? Are we confident in their ability to assist us throughout our implementation and optimization journey?
