You’re a laboratory manager. How do you ensure your team is always producing top-quality work?

1. Document your lab's quality objectives, deliverables and metrics in measurable, non-ambiguous and non-conflicting regulatory compliance terms (thereafter "proper terms") 2. Establish your lab's Risk Management Standard Operating Procedure (SOP), Nonconformance, CAPA, Change Control/Management, Calibration/Maintenance, Personnel Training, Train the Trainer, Validation SOPs and Management Review SOPs in proper terms. 3. Establish a continuous feedback-loop between your lab's input/output inclusive of proper data analysis, review and continuous improvement (CI). 4. Establish/implement process for empowering and rewarding/disciplining/CI employees for achieving/exceeding quality objectives/deliverables/metrics.

Reduce document writing as much as possible or go paperless laboratory. Laboratory information and management systems give advantage to reduce document writing time, ensure Good Laboratory Practices GLP. Some of the labs having dedicated team at different sections of laboratory to minimize errors during analysis, to produce reliable and accurate results.

First and foremost, being a manager requires having the capacity to understand and lead others. It is easier for the junior scientists working under the manager to perform exceptionally well and error-free when they have a clear understanding of the operation and work routine, especially in the IVF department where errors are not tolerated. It is crucial that the manager and junior scientists communicate effectively, and the manager should be personable to make it simpler to bring up concerns with them.

Quality objectives comprise: 1. A product/service meets its labeling and/or regulatory approved claims 2. A product/service meets customer needs 3. A product/service can be produced for a fair/reasonable profit to meet desired customer demand 4. Satisfied employees, customers, suppliers, company stockholders and a thriving environment

Defining quality objectives is fundamental for ensuring top-notch performance in the laboratory. Establish clear, measurable goals aligned with the lab's mission, customer needs, and industry regulations. Communicate these objectives to the team, emphasizing their role in achieving them and fostering a shared commitment to excellence.

The Laboratory team usually ensure testing and controls, so I cultivate a culture of excellence in three ways: Firstly, by setting standards, clear expectations and providing ongoing feedback. Secondly, by addressing concerns, fostering collaboration, trainings and knowledge sharing within the team. Finally, by empowering my team members to take ownership of their work, and celebrate their achievements.

Implementing robust quality systems is crucial for upholding quality objectives in the laboratory. Develop and document policies and procedures covering documentation, training, calibration, validation, quality control, and improvement. Adhere to relevant standards like ISO 17025, CLIA, or GLP, and conduct regular monitoring and audits to ensure compliance and effectiveness.

Shall go with task bound culture in the laboratory rather than time bound duties. This kind of culture encourage to focus on productive jobs.

Engaging your team is vital for fostering a quality culture in the lab. Provide resources, feedback, and recognition while offering learning opportunities. Encourage participation in improvement initiatives and create a safe, positive work environment for open communication and collaboration.

Reviewing performance is essential for maintaining quality in the lab. Collect and analyze data on metrics like turnaround time, accuracy, and customer satisfaction. Identify strengths, weaknesses, and areas for improvement. Set new goals based on findings and communicate results with the team and stakeholders to foster continuous improvement and maintain credibility.

Follow the PDCA cycle for the Quality culture, remember its continual Improvement journey and there is no end to it. In laboratory medicine running daily QC is not only the way of achieving the quality. Quality should be part of every single activity. It starts from TRF, Samples Collection, Transportation, Receiving, Processing, Report Generation, and Report release to Patient. Every point has a quality requirement then only overall laboratory quality can be improved.

Don't stop at good, strive for great!
