You're juggling multiple urgent project deadlines. How do you decide which tasks to tackle first?

Companies has their Mission, to meet that mission management draw main goals to achieve his mission. That goal provides path to achieve mission timely by defining projects & its beauty of program manager to chose the project which has clear timelines, cost and the impact on the defined goals. I chose the project or program those are less cost and maximum impact on the goals and to achieve mission of company which would have significant impact of company EBITA.

When handling multiple urgent tasks, we have to further prioritize these projects/tasks considering: 1. Using benefit analysis, identify which task/project adds more weightage to the organization's overall goals/profit. Assign internal priority based on this. 2. If certain tasks are easy to achieve without significant resources and provide considerable benefit, that also will go higher up in priority. That is, we have to make that conscious decision to weigh the combined effort v/s benefit and prioritize everything accordingly which makes the most sense and feasibility.

When faced with multiple urgent project deadlines, I prioritize tasks based on their level of urgency and impact on the overall project. I first tackle the tasks that have the closest deadlines and are critical to the project's success, ensuring that I'm making progress on the most important aspects. By focusing on the high-priority tasks first, I can manage my workload effectively and minimize the risk of missing deadlines.

One way to achieve this is to break your tasks into smaller chunks of work. It's easier to assess the state of smaller tasks, which will allow you to communicate progress more frequently amongst your team.

CLASSIC PROBLEM !!!! and DO NOT HESITATE TO APOLOGIZE AND ASK FOR AN EXTENSION, however... This is something everyone deals with. I try to prioritize by looking at the effort versus the results—focusing on the ones that take the least effort and have the biggest impact. And if needed, I’m not afraid to say sorry and ask for more time. However, we should keep in mind that asking for an extension could impact our KPIs. It is the risk that needs to be considered.

Evaluate importance is of utmost importance while juggling between multiple projects. Importance can be identified basis on its - 1. Impact on business- Will the delay have an impact on profitability or serviceability of the company. 2. Timelines of the project- Projects can be categorised based on their timelines and any project short period of timelines can be prioritised basis on long term projects.

Im nachsten Schritt Prioritaten setzen: zuerst die sehr wichtigen Aufgaben, dann die wichtigen, die jedoch noch etwas Zeit haben, dann die weniger wichtigen und so weiter. Dabei immer auf die Bedeutung achten aber gleichzeitig auch die Dringlichkeit bedenken. Manchmal f?llt diese Entscheidung nicht ganz leicht, eventuell hilft eine Erg?nzung der Liste mit den Fristen innerhalb des Projektes.

I identify tasks that can be delegated to team members, ensuring that work is distributed efficiently. This allows me to focus on the tasks that require my specific expertise.

Sometines I sort project activities primarily in my tasks and delegate tasks and then check who can do the job in the team, than I check the other tasks for priority and impact, knowing that the delegate part is already processed. Eases the mind and helps me stay focused.

Not a lot to comment here. Good leaders are naturally flexible and can adapt quickly. To change. People with rigid character should not be in leadership roles …history has demonstrated that fact.

Projects are rarely static, so flexibility remains a key part of my approach. Even with established priorities, I regularly review and adjust them as needed to respond to changes in the project’s progress. New information, unexpected challenges, or shifting resource availability may require realignment. This adaptability ensures that I maintain focus on the most critical project objectives, effectively guiding the team through changing conditions.

Considerando que flexibilidad es enfocado a ajustarnos a posibles riesgos que se vayan planteando. Necesariamente debemos tener un punto de partida donde visualicemos posibles riesgos previamente de comenzar cualquier proyecto. Esto nos da la posibilidad de mitigar o al menos considerar soluciones que permitan evaluar los posibles desvíos. En caso de que aparezcan nuevos casos no contemplados, tendremos que ser capaces de ver las correspondientes prioridades e impactos para saber que debemos abordar primero.

Have you analyzed why you suddenly have several urgent tasks? Are there ongoing changes? Is the project steering committee aware of this? You must have change management under control. The change process must be clearly defined for both the customer and the supplier right from the start of the project. It is clear that costs, times, quality and content (devil's square) must be continually reviewed, especially when there are already several tasks pending in a project.

Monitoring progress is essential to ensure that the project stays on track. I set regular checkpoints and use both quantitative and qualitative indicators to assess the status of tasks. This monitoring allows me to respond early to any deviations and take proactive corrective actions. Through continuous monitoring and feedback loops, I ensure that the project is completed not only on time but also meets quality standards.

When urgency assessment and delegation are properly done, I believe, half of the work is already done assuming that you have a talented and motivated team. The rest can go with the flow with a recurring and rigorous monitor over the progress. A good start without continuous monitoring can potentially derail the progress.

I'd like to add monitoring progress is not just about tracking tasks but ensuring alignment with strategic objectives of the company. I liked to use principes of OKR framework, setting clear, measurable goals (Objectives) and track specific outcomes (Key Results) to assess how well we’re progressing toward those. This keeps the team focused on delivering meaningful results, not just completing tasks. Regular check-ins on key metrics ensure that we’re moving in the right direction and provide opportunities. This approach also fosters accountability and transparency, as everyone can see how their work contributes to the larger company strategies.
