Balancing cost savings with vendor partnerships starts with transparency and alignment. Vendors are strategic partners, not just service providers. By sharing long-term goals, like AI implementation in customer support, they can plan ahead. For example, as containment rates improve, staff reductions may follow, increasing efficiency while maintaining customer experience. Giving vendors early insight allows them to reallocate resources and collaborate on revenue-generating use cases that allow reallocation of staff - a win-win situation. The key is proactive communication and mutual value creation, ensuring both cost efficiency and a sustainable partnership.

Couple of things always helped me to maintain perfect balance. - Use available business information wisely and ensure the vendor is aware of the same and understands how is also contributing in business growth - Taking SIOP and implementing LEAN Six Sigma methodology to the L1 & L2 vendors to enhance their processes and quality standards - Used a digital platform to keep vendors informed on their performance on primary and secondary terms like Quality, Delivery, Cost, Response time to close rejection issues, Value addition in terms of continuous improvement by vendors, Invoice details (submitted, pending for payment, hold etc.) - Quarterly vendor event to generate ideas pipeline as VE (value engineering) to drive productivity

Instead of chasing the lowest price, I focus on value performance-based contracts, flexible terms, and long-term alignment with business goals. Regular cost reviews, optimizing software licenses, and leveraging automation help keep expenses in check without compromising efficiency. At the end of the day, true cost optimization isn’t just about spending less it’s about spending smarter.

Relationship with vendor partner plays a major role in striking a balance. If one fosters a strong vendor partner relationship, the vendor makes a concerted effort to support the cost savings / value creation initiatives. So, foster a good relationship and lean on the partner vendor for support. One has to return the favour similarly, once vendor reaches out for support .
