When project delays occur, the key to reassurance is taking responsibility and turning challenges into a chance to refocus. Be direct and transparent—stakeholders respect honesty. Clearly outline the cause of the delay but immediately pivot to solutions. Highlight the progress, the adjustments being implemented, and a clear, revised timeline reflecting careful planning. By framing setbacks as necessary recalibrations, you instil confidence in your ability to steer the project back on course. True leaders don’t let delays derail progress—they use them to sharpen focus and drive success forward.

When facing project timeline delays, transparency is key. Communicate openly with senior stakeholders, acknowledging the delay while emphasizing what caused it and the steps being taken to get back on track. Present a revised timeline with realistic milestones and highlight the measures to mitigate future risks. Reassure them by focusing on progress made, the value still being delivered, and any adjustments made to ensure overall project success. Regular updates and a proactive approach build trust and demonstrate commitment to resolving the issues efficiently.

Never be afraid of the truth! I have seen time and time again and earlier in my career fell into the trap a couple of times of thinking that anything other than good news shouldn’t be shared the thing is, if you do that, the information becomes a huge big thing. Instead realize that news is neither good or bad but just news! Let your stakeholders know that news as soon as possible, this is one of the situations where email first is best. Then follow up with face to face, in a group meeting if one is scheduled or put some time in with the stakeholders to go over the delays etc. with them. In the discussion focus on the simple reason for the delay and the solution you have to get back on track as that’s the main thing they all want to know!
