We need to address the root cause of this problem. The project will face this situation only if they haven't done the homework at the time of project planning & budgeting. When I started working in Sustainable Development (built environment sector) back in 2008, I brought system thinking approach to avoid such surprises. I worked extensively with collegues from tendering, costing, project planning, quantity surveying and purchase department from an early stage of project. This is to ensure the entire team is aware of sustainability requirements and related costs so that it can be included in the project budget. During my career I ended up creating sustainability policies & procedures for a different organizations to solve this problem.

Sourcing "non-sustainable" materials is even more pricey in the long run: Many customers in the Automotive world for example prefer sustainable materials over virgin materials with more recyclats / lower CO2-footprints; so you will not even win over a new project without sustainable material offers (Business continuity depends on it). Furthermore, you always have to consider the on-top costs of sourcing "non-sustainable materials: you have to pay CO2 taxes (CBAM), track conflict minerals (sanctions), you have to guarantee that no stakeholder is harmed in the value chain etc. The effort and costs to source "non-sustainable" material is way higher than you think and will be increasingly linked to higher costs in the future.

Other than what has been already given, here are a few tips: 1. Remove items from the BoQ which are of glam quotient or have outlived the utility. In my case, we did away with key hives, call bells, extra storages, lit signages etc. 2. Rethink a simpler and modular design which will save the write off costs. In my case, changing from a fixed piece of furniture like a dome seating to a removable furniture did the trick. 3. Re-use some furniture from local sources like table tops and partition boards. 4. If some sustainable piece is expensive, consider procuring it under operating expense rather than capital expenditure.
