You're in a chaotic team meeting with everyone talking at once. How do you ensure your voice is heard?

If I am leading that meeting I remind everyone to remain aligned with the agenda and chime in if necessary to stop concurring discussions that do nothing but delay the course of the meeting and frustrate people who talk when they have to. If I am just a participant to that meeting I remain calm and stay focused to contrast with the rest of the group. It is a good way to show that a well-framed discussion makes a meeting truly inclusive. Otherwise it is the people who speak loudest who stand out while introverts may be ignored. It is also the best way to make meetings productive so that everyone has contributed to the output and can follow up with accountability.

Be patient- process what's been said and how, and then find a window to calmly, but in a confident tone express your thoughts. Sometimes it's best to say nothing when too many voices are going since likely none of them are being heard at that moment ;)

Start by active listening, that's why we have two ears and one mouth. Use non verbal communication, and always wait for others to finish speaking before jumping in. Active listening is about being fully present and engaged. Make eye contact and remain open in your posture. By giving your undivided attention you show respect. This mindful listening strengthens the quality of your responses.

Stand up. Say nothing. The room will eventually quieten. When you have everyones attention, refer to the purpose of the meeting to restore some order and then make your contribution. No need for assertion.

To my eternal shame, I became so visibly agitated at the utter chaos occurring in such a meeting that several people asked me afterwards if I was “OK.” Body language matters and I never made that mistake again. I did not say a word, but got the point across—but not on purpose. The best juxtaposition is being the one person in the room who does not appear frustrated. I have marveled at colleagues who have this gift and they take the focus off the chaos and onto order. This is still a work in progress for me.

When people are freaking out I like to show that I'm not bothered by leaning back and slightly tilting my head. This often diffuses the situation enough to allow discussion.

This is exceptionally important for individuals who aren't natural talkers. Gaining allies allows your ideas to be shared to a greater group of people. It builds perspectives and shared ownership for an idea. Consider visual aids, videos or props too. When a meeting is chaotic with people talking over one another, changing the medium of ideas exchange could change the pacing of the discussion. Let's say, play music and a group of people start dancing. That's impactful!

I use a sharpie pen and on an A4 sheet of paper, in joined up writing, I write "I agree". More efficient than saying it every time.

Timing is key if you have patience. I have learned that by listening to others, you gain more insights and context, allowing you to contribute meaningfully. It is not about lacking an opinion but about waiting for the right moment to make impactful and productive points.

Don’t speak, listen and be the last to add your views. Silence = intelligence in a room full of voices. You’ll gain more respect.

Staying calm and listening is key in the beginning, especially when the chaos first starts. Listen for a few minutes to hear a few perspectives and then simply stand up and walk to a dry erase board or whatever surface you might have to take notes. By this time people should have noticed movement. Clap, whistle, or sing if needed. Since everyone has something to say provide them a platform to start, making sure no ones gets missed. Ask one person to start and to go around the table while you note it. Some topics may spark a conversation, if they can't be summed up in a few minutes then suggest a separate meeting. At the end everyone should feel heard and you should have direction to move forward.
